This position is within the Auxiliary Services team of the Florida State University Controller’s Office.

Responsibilities

This Senior University Accountant position is responsible for providing analysis, research, and reporting functions for the maintenance and development of systems that process the university’s auxiliary internal and external billing and internal purchasing transactions within the Auxiliary Services area. Performs professional accounting work with a focus on reviewing data for system integrity, preparing reports and reconciliations, as well as providing support to management.

Responsibilities include:

  • Leading the university’s auxiliary internal and external bill cycle, applying proficient knowledge of financial system modules (purchasing, billing, accounts payable, and accounts receivable). Monitoring incoming billing activity through various means for accuracy and completion, working with selling auxiliaries and management to identify issues and understand changes in activity. Managing upload and interface activity within OMNI Financials, ensuring billing files process accurately and on schedule. Monitoring system invoicing jobs to confirm continuous operation and works with Business Application Support to lead the automation and functional improvements of the auxiliary bill cycle. Analyzing billing errors preventing invoice creation and collaborating with auxiliaries to resolve issues, including those tied to purchasing-related budget deficits. Serving as the primary contact for internal billing functionality and auxiliary bill inquiries. Supporting the team by providing billing system knowledge and assistance with invoice corrections. Managing held bills and partnering with departments to ensure resolution and timely posting. Conducting recurring analysis of billing activity and system performance to identify and correct issues.
  • Overseeing internal purchase order processes, applying foundational knowledge of financial system modules (requisition and purchase order) and university budgeting procedures. Engaging with departments to resolve budget deficits on auxiliary purchase orders and restructuring purchase orders to support effective billing and encumbrance management practices across campus. Managing the auxiliary pending charge process, working with departments to ensure valid purchase orders are in place to ensure timely invoicing and processing for payment. Providing fiscal year-end analysis to support purchase order roll accuracy and compliance. Serving as the primary contact for resolving requisition and purchasing issues, and monitoring approval and system workflows to ensure timely purchase order and requisition processing. Conducting annual analysis to identify and correct errors in the purchase order population. Assisting team members by sharing internal purchasing expertise and supporting cross-functional understanding of purchasing policies and practices.
  • Providing analysis and data management support within the university’s enterprise solutions. Interfacing with Business Application Services (BAS) team to determine the cause and resolution to routine production issues. Assisting BAS and the Auxiliary Services Manager with completing basic functional process improvements or testing of new or existing functionality pertaining to system upgrades, disaster recovery, or onboarding of new auxiliary activity. Understanding and creating basic queries and reports for assisting departments with obtaining data from OMNI Financials and maintaining departmental listing of queries relevant to area’s duties. Serving as primary trainer for departmental representatives, coordinating, and delivering one-on-one training on billing, internal purchasing, and other auxiliary services functions on a recurring and ad-hoc basis. Assisting management in ensuring the university’s auxiliary services training and website content maintains up to date.
  • Preparing, monitoring, and/or reviewing periodic reports (daily, weekly, monthly, annually) to identify trends, exceptions, and errors related to billing, internal purchasing, and other operational functions. Compiling reports on billing transactions that may exceed departmental budgets. Serving as the primary reviewer of billing and purchasing metrics and activity reports. Reviewing departmental ledgers, identifies accounting errors or atypical entries, and resolves routine issues in coordination with departments and central offices. Elevating discrepancies to management for resolution. Applying foundational knowledge of Generally Accepted Accounting Principles and university policy and procedure throughout.
  • Monitoring the group inbox for departmental inquiries received within the areas of billing and internal purchasing to ensure timely resolution by the team or consults with management for assistance. Maintaining business process documentation for assigned tasks. Assisting management with basic level projects as assigned. Occasionally, serving as a backup to other areas within the Auxiliary Services team to support operational continuity.

Qualifications

Master’s degree in accounting, finance, or similar field and two years of experience; or a Bachelor’s degree in accounting, finance, or similar field and four years of experience; or a high school diploma/equivalency and eight years of relevant experience. (Note: post high-school education and/or experience may substitute at a comparable rate.)

The successful candidate will be hired at the most appropriate level of Senior University Accountant level I through IV, based on education and experience.

Level I – Master’s degree in accounting, finance, or similar field AND 2 years of experience OR Bachelor’s degree in accounting, finance, or similar field AND 4 years of relevant experience OR a combination of post-high school, relevant education and accounting, finance, or similar experience equal to 8 years.

Level II – Level I requirements plus an additional 2 years of relevant experience OR a CPA certification. FSU Financial Representative Certificate and FSU Customer Service Certificate preferred.

Level III – Level II requirements plus an additional 2 years of relevant experience.

Level IV – Level III requirements plus an additional 2 years of relevant experience. Certificate in SQL.

  • Ability to demonstrate critical thinking based upon in-depth data, substantiating information, considering, and respecting others' input, personal values, and ethics.
  • Experience with financial enterprise resource planning systems (such as PeopleSoft/OMNI or comparable systems) or other related accounting systems and practices.
  • Ability to utilize problem solving skills.

Anticipated Salary Range

The anticipated starting salary for this position is $57,000, commensurate with experience and education.
