The position requires strong skills in communication, coordination, organization, file maintenance, data base management, and prioritization. The department is part of the School of Education, Health, and Human Services which prepares students for successful entry into their profession. We focus on an ethical approach to human well-being and encourage critical thinking and practical application.Examples of Duties & Responsibilities:This position will provide support for all administrative responsibilities of the Chair which are expected to include, but not be limited to, assisting with faculty travel, department purchases to include food lab items, preparation and submission of the master course schedule; and the completion and processing of necessary (re)appointment paperwork. Effectively managing the office traffic flow via phone, email and/or walk in; scheduling and supervising work study students; and ensuring proper inventory of supplies for the office and that office equipment is properly functioning is also included. This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.


Minimum Qualifications for applicants not currently civil service eligible for the title:

  • Administrative Assistant Trainee 1 – High school or high school equivalency diploma
  • Administrative Assistant Trainee 2 – High school or high school equivalency diploma; and one year of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and management of an office
  • Administrative Assistant 1 – High school or high school equivalency diploma; and two years of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and management of an office or Certification (e.g., IAAP Certified Administrative Professional) or associate degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology substitutes for two years of experience

Preferred Qualifications:Salary (Applicant View)$39,215 to $56,743, in accordance with Civil Service Salary Schedule.

Important Notes for those appointed as a Trainee:

Successful completion of the traineeship requires taking eight courses in the following competencies: Professionalism and Self-Management, Verbal and Written Communication, Interpersonal and Customer Relations, and Computer Skills and Technology. It must include instruction in each of the following topics: office organization and management; business writing; customer service; and Microsoft Word basics.
