GENERAL STATEMENT OF RESPONSIBILITIES:

The Staff Assistant supports the planning, implementation, and administration of noncredit employer training and workforce development programs for the Center for Community and Professional Education (CCAPE). Reporting to the Senior Manager of Employer Engagement and Workforce Partnerships, this role is responsible for ensuring the smooth execution of employer contracts, grant-funded training programs, instructor coordination, data tracking, and financial processing.

This position is ideal for a highly organized, detail-oriented professional who thrives in a collaborative environment and plays a critical role in translating employer partnerships into well-executed, high-quality training programs.

EXAMPLES OF DUTIES:

  1. Support the implementation and day-to-day administration of employer contract training and noncredit workforce programs.
  2. Coordinate logistics for employer-sponsored training programs, including scheduling, room reservations, instructor coordination, materials, and program communications.
  3. Serve as a key operational partner to the Senior Manager by supporting employer training projects from contract execution through program completion.
  4. Maintain accurate records in CCAPE databases and systems, including Jenzabar, Salesforce (as applicable), enrollment tracking, contact hours, and revenue reporting.
  5. Administer financial transactions for employer training programs, including accounts payable, receivables, invoicing, and reconciliation; compile and reconcile financial records and coordinate review and approval with the Senior Manager.
  6. Track program metrics and outcomes; assist in the preparation of reports for the College, funders, and external partners, including the Department of Higher Education.
  7. Ensure the completion, accuracy, and retention of all employer training program documentation, including certificates of completion, attendance records, evaluations, and compliance materials.
  8. Assist with instructor onboarding, scheduling, communication, and payment processing.
  9. Support Continuing Education Unit (CEU) applications, certificate issuance, and record maintenance.
  10. Assist in the administration, compliance, and reporting of employer-related grant awards, including Workforce Training Fund grants and other public or private funding sources.
  11. Schedule, coordinate, and actively participate in planning meetings with employers, instructors, and internal stakeholders to ensure successful program delivery.
  12. Support outreach and follow-up activities related to employer engagement and program implementation, in coordination with the Senior Manager.
  13. Contribute to the identification of new training opportunities and emerging workforce needs through data analysis and operational insights.
  14. Perform general office and administrative functions to support CCAPE operations.
  15. Other related duties as assigned.

Job Requirements:

MINIMUM QUALIFICATIONS:

  1. Bachelor's degree.
  2. Demonstrated ability to work effectively with senior leaders, external partners, instructors, and internal college stakeholders.
  3. Strong interpersonal skills with the ability to work collaboratively with diverse populations.
  4. Excellent organizational, project management, and time-management skills.
  5. Strong written and verbal communication skills.
  6. Proficiency in Microsoft Office applications (Word, Excel, Outlook, Access or equivalent) and QuickBooks.
  7. Experience managing data, spreadsheets, and reporting systems with attention to accuracy and detail.
  8. Self-motivated, solution-oriented professional with sound judgment and follow-through.
  9. Customer-service oriented with a positive, flexible, and professional demeanor.
  10. Ability to manage multiple priorities in a fast-paced environment.
  11. Valid Massachusetts driver's license and reliable transportation.
  12. Unrestricted authorization to work in the United States.

ADDITIONAL PREFERRED QUALIFICATIONS:

  1. Project management or program coordination experience in workforce development, higher education, or corporate training environments.
  2. Familiarity with employer training contracts, grants administration, or workforce funding programs.
  3. Knowledge of the Cape Cod and Southeastern Massachusetts economy and business community, including key regional industries.
  4. Experience working with student information systems, CRMs, or training databases (e.g., Jenzabar, Salesforce).
  5. Master's degree in a related field.

Additional Information:

COMPENSATION: Annual salary range of $58,000-$62,000, dependent upon qualifications. Full-time, benefited, Non-Unit Professional position including participation in a comprehensive employee benefits program and the option for membership in the Massachusetts State Employees' Retirement System.
