Staff Assistant for GSE Outreach & Engagement
Position Summary
The Graduate School of Education at the University of Buffalo is seeking a Staff Assistant to support the center for Outreach and Community Engagement. The Staff Assistant for GSE Outreach & Engagement will provide critical administrative support to the Assistant Dean of Community Relations, ensuring the smooth operation of outreach initiatives and community engagement programs. Additionally, the role includes managing payroll for the Brainy Bulls Online Tutor Mentor Program. This position is essential in maintaining compliance, managing sensitive data, and supporting the Assistant Dean in fostering partnerships and community relations.
Key Responsibilities
Administrative and center support
- Manage the Assistant Deans calendar, schedule meetings, and coordinate outreach efforts with community entities.
- Provide initial outreach to community organizations to strengthen partnerships and grow community-based programming.
- Maintain accurate electronic file systems for personnel documents, including sensitive and category 1 data.
- Ensure compliance with applicable laws, union agreements, SUNY policies, and other university guidelines.
- Respond to correspondence and phone inquiries related to outreach and engagement initiatives.
- Support the Program Director and Assistant Dean in preparing center budget requests and processing OTPS transactions to ensure operational alignment
- Manage supply and facility requests as needed
- Assist with the planning and execution of programs and events in collaboration with the Program Director and Assistant Dean
Duties as assigned in support of hiring student mentors and tutors
- Assist as needed with scheduling interviews, onboard tutors, send offer letters, manage fingerprinting and onboarding paperwork.
- Assist as needed with employment verification and eligibility including VISA and immigration documents related to student employees to ensure all transactions are processed in a timely, accurate, complete, and consistent manner
- Process all EPTF transactions for hiring student assistants
- Process all required Workstudy forms
Payroll Management for Brainy Bulls Program
- Oversee student assistant and workstudy budget to ensure expenditures align and the accounts are not overspent
- Process payroll for all Brainy Bulls tutor mentors, ensuring accuracy and compliance with institutional and program policies.
- Maintain timekeeping systems and ensure timely submission of payroll documentation.
- Address payroll-related inquiries from tutor mentors and resolve discrepancies.
- Collaborate with relevant departments to ensure payroll processes align with university standards.
May include occasional evenings or weekends during peak periods.

Minimum Qualifications
- Associates degree with 2 years of administrative experience.
- Effective oral and written communication skills.
- Proficiency with virtual platforms (Zoom, Teams, Google Suite, etc.).
- Strong organizational and problem-solving skills.
- Ability to work both independently and collaboratively in a hybrid environment.
Preferred Qualifications
- Bachelors degree or higher with 2 years of administrative experience.
- Experience in SUNY procedures related to academic department support.
- Knowledge of payroll systems and processes.
- Ability to manage sensitive data and ensure compliance with institutional policies.

Salary Range
$51,261 - $55,000
