The Student Account Specialist supports the Business Office in managing student billing, payments, and receivables. This role ensures compliance with federal regulations, accurate reporting, and effective communication with students and families. The specialist leverages multiple systems, including Workday, to maintain efficiency and support process improvements across the Business Office.

Duties / Responsibilities:

Billing & Payments

  • Calculate and prepare student billing fees and collaborate with departments to ensure accuracy.
  • Post charges and adjustments to student accounts and monitor for accuracy.
  • Perform daily closing procedures as needed.
  • Process weekly refund checks and research credit balances in compliance with Department of Education Title IV regulations.

Compliance & Reporting

  • Assist with tax form processes (1098-T and 1042-S), including collection, maintenance, reconciliation, and reporting.
  • Ensure billing and refund practices comply with University policies and federal regulations.
  • Provide data and technical support for Business Office reporting and audits.

Technology & Process Improvement

  • Leverage Workday, PowerCampus, PowerFaids, Akademos, Transact, and Sprintax Calculus to manage student accounts.
  • Support process automation and promote paperless workflows within the Business Office.
  • Create and maintain the Business Office website to provide updated information and resources.
  • Identify and implement process improvements to enhance accuracy, efficiency, and service delivery.

Customer Service & Communication

  • Communicate with students, families, and internal stakeholders via phone, email, and mail to resolve account inquiries.
  • Provide training and support to Business Office staff and other University personnel as needed.
  • Maintain a high level of customer service by handling inquiries with professionalism and discretion.

Teamwork & Special Projects

  • Manage special projects assigned by the Student Account Manager.
  • Support coworkers during absences or high-volume periods.
  • Align daily work with the University’s mission, vision, and strategic roadmap.
  • Demonstrate regular, predictable on-campus attendance.
  • Perform other job duties as assigned.

Required Skills/Abilities:

  • Strong verbal/written communication skills
  • Excellent customer service experience skills
  • Demonstrated organizational, prioritization and time management skills
  • Strong attention to detail, the ability to handle multiple priorities, and meet deadlines
  • Must be flexible, show effective judgement, discretion and have the ability to handle confidential financial matters

Education and Experience:

  • Bachelor’s degree preferred
  • Minimum of 2 years’ experience in business or a financial environment; preferably in Higher Education
  • Some experience in accounting, bookkeeping and ecommerce preferred
  • Experience with Microsoft Office and the ability to utilize multiple systems required
  • Experience with Workday, PowerCampus, PowerFaids, Akademos, Transact and Sprintax Calculus preferred

Physical Requirements:

  • Experience with Workday, PowerCampus, PowerFaids, Akademos, Transact and Sprintax Calculus preferred
