This type of appointment is not approved to work more than 999 hours per year for all positions combined. Should incumbents work more than a total of 999 hours in a year the appointment may not continue beyond one year of service.
This position is an exciting opportunity to become familiar with all aspects of event management, learn how modern digital AV equipment works, and experience the many events Colgate supports throughout the year - many performed by world-renowned scholars and artists. ITS supports over 1,000 campus events (both in-person and virtual events) throughout the year. Classes, colloquiums, panel discussions, guest lectures, banquets, and other large events use a variety of audio-visual equipment and computers under our purview. We prepare, set up, and remove AV equipment. We provide direct support to presenters, faculty, staff, and students to ensure successful outcomes.
When event duties are limited, this position will also work with professional staff to assist in maintaining over 200 smart classrooms and event spaces across campus. Regular maintenance and review of these facilities help to ensure that the capabilities we advertise are available when our faculty, staff, and students need them. You can be a part of ensuring your classrooms are operational and functional when you need them. Additionally, you will gain experience with presentation technologies and techniques and provide support to faculty and students, as assigned.
Accountabilities
Responsibilities include:
Event Support Duties:
- Assist professional staff with AV-related event duties including
- Setting up, operating, and removing AV equipment for events, as assigned. Equipment includes but is not limited to video cameras, tripods, webcams, wired and wireless microphones, projectors, and projection screens
- Opportunities to also support virtual events with Zoom meetings and Zoom webinars. - Report any irregularities or malfunctions via the ITS ticketing system. Replace damaged components, such as cables, batteries, keyboards, and mics
Classroom Support Duties:
- This position is also responsible for conducting regularly scheduled classroom and event space visits to verify integrity
- Test and replace microphone batteries, test projector, TV remotes, and other peripherals as needed
- Sign in to classroom computers and confirm the successful connection of webcams and microphones in classroom and event spaces to make sure it works with Zoom
Professional Experience/ Qualifications
- Working knowledge of both Windows and Mac OS platforms
- Training (mandatory) will be provided
- Reliability is a key attribute required for continued employment in this position
- Excellent work ethic and attention to detail
- Self-motivated and willingness to ask for help when needed
- Outstanding customer service skills
- Strong communication skills, both written and verbal
- Must be capable of working collegially with a diverse group of faculty, staff, students, professionals, and the general public on a daily basis and foster a cooperative work environment
Preferred Qualifications
- A basic understanding of audiovisual fundamentals such as the purpose and use of microphones; sound systems; computers (Troubleshooting Mac and Windows); laptops; tablets; document cameras; and data projectors are desired
- A current valid driver's license

Highschool or equivalent
Physical Requirements
Ability to lift and transport up to 10-15 pounds of materials for short distances
