Āu Mahi | What You Will Do

As the Tautāwhi | Administration Assistant / Receptionist, you will play a key role in supporting the smooth operation of administrative functions at Te Kaupeka Ako | Faculty of Education. Working collaboratively with a dedicated team, you’ll bring energy and efficiency to a variety of daily tasks, ensuring a welcoming and well-organised environment.

Your Reception responsibilities will include managing incoming enquiries and supporting the flow of information across the faculty. You’ll also assist with a range of administrative tasks such as preparing and processing documents, maintaining records, and responding to general requests as needed. Attention to detail and a proactive approach will be key as you support internal processes and contribute to a well‑organised and responsive office environment.

At certain points throughout the year, you will provide additional administrative support for our professional placements processes. This will involve straightforward tasks such as routine data entry, checking information, and following up on simple enquiries to ensure information remains accurate and up to date during key periods. As part of this support, you will also assist with booking staff travel using our online booking and finance tools. Your reliability, accuracy, and attention to detail will help keep these seasonal activities running smoothly.

Mōu | Who You Are

You will be an experienced individual with at least 1-2 years’ experience in an administrative or reception support role in a medium to large organisation along with:

  • Excellent organisational skills including the ability to cope with competing demands.
  • Demonstrates resilience and organisational skills, including ability to set priorities, manage time and plan, work to meet deadlines, and escalate when appropriate.
  • Proficiency in Microsoft Office including Teams.
  • Deliver outstanding customer service for students and staff members.
  • A good knowledge of the tertiary education sector is preferable.
  • Strong interpersonal skills with the ability to work independently and within a team.
  • Ability to adapt to new systems and processes
  • An alignment with our organisation's values and culture, promoting a positive and inclusive work environment.
