Reports to: Associate Vice President for Advancement
FLSA Classification: Non-Exempt
Job Purpose:
The Staff Assistant is a full-time position and a member of the Institutional Advancement Staff. The Staff Assistant serves directly under the supervision of the Director of Development and assists the Director of Planned Giving. Supporting the goals of the Office of Institutional Advancement, the Staff Assistant will serve in a support role for the front-line fund-raising personnel. An important part of the position is supporting the ministry and mission of the University and advancing the academic excellence and spiritual vitality of our University and students. Each employee plays an important role in the development of the Christian faith in our students.
Essential Functions:
- Establish an office environment and culture that is warm, hospitable, inviting, and responsive to all guests.
- Manage access to the Associate Vice President (AVP) in such a manner that all guests are treated with respect and dignity, their questions are answered, and their experience with the AVP’s office is enjoyable and productive.
- Manage the AVP’s calendar in such a way that the AVP has the opportunity to prepare adequately for meetings and can devote appropriate time to high priority departmental projects. This includes scheduling meetings and planning meeting logistics.
- Perform administrative duties, including mail distribution, phone coverage, composing and disseminating correspondence, organizing files, and maintaining office supplies and equipment.
- Respond promptly and cordially to general donor inquires via phone, mail, and email.
- Prepare and distribute gift receipts and acknowledgements to the University’s donors. Prepare and distribute gift reports to Development staff.
- Support stewardship and donor recognition programs, including preparing letters, certificates and special projects as needed. Support production for endowed fund reports.
- Manage an accurate mailing and reporting calendar for fundraising, stewardship, and communication efforts.
- Oversee the preparation and production of direct mail solicitations and communications.
- Prepare, edit, and proofread confidential gift proposals, fundraising materials, reports, spreadsheets, communications and presentations.
- Perform data entry tasks to assist in maintaining accurate and complete alumni and donor records and to track event attendance.
- Support the AVP in overseeing the budget through expense processing and reporting.
- Work cooperatively as needed with other team members to plan and execute development and alumni events.
- Coordinate student workers for the Development Office.
- Remain current on privacy and confidentiality policies and procedures to ensure adherence to the University’s high standards.
- Perform other duties as assigned.
Position Type/Expected Hours of Work:
This is a full-time on-site position, and hours of work and days are Monday through Friday, 8:00 a.m. to 5 p.m.
Travel:
No travel is expected for this position.
Qualifications:
- High school degree or equivalent required, Bachelor’s degree highly preferred
- Three to five years of experience in an office
- Comfortable working with highly sensitive information and demonstrates tact and discernment dealing with confidential information and
- Strong organizational
- Strong interpersonal
- A team player, people oriented and must work well with co-workers.
- Proficient handling routine business matter with other departments, outside professionals, donors and the general
