Position Summary:

Join the University of Northern Colorado's dynamic Office of Admissions Team as the Associate Director of Events & Visits (ADEV). As a key member of the office’s core leadership team, the ADEV leads the strategy, coordination, and execution of all recruitment-related events and campus visit and tour programs to help meet enrollment goals. Leading with diversity, equity, inclusion, and social justice (DEISJ) principles throughout all activities, the ADEV will oversee all aspects of coordination and delivery for marquee recruitment events, daily campus visits and tours, group visits, and provide support for other event initiatives for future student recruitment.

Directing a team of two full-time staff and a large team of student ambassadors, the ADEV is expected to prioritize fiscal responsibility while designing and delivering authentic, engaging, and impactful visitor experiences. Delivering exceptional customer service at all times to prospective students, families, and key campus and organizational stakeholders the ADEV will also drive strategic assessment to evolve programs to enhance student experiences and better meet visitor needs. Collaborate with marketing and communications teams to optimize event communications, leverage technology for visitor engagement, and foster student engagement in strategic marketing initiatives and campus activities.

Job Duties:

Professional Supervision (20%)

  • Drive the strategy planning, coordination and execution of all recruitment-related events and
  • campus visits to meet the University of Northern Colorado’s enrollment goals.
  • Manage full-time staff (events coordinator, campus visits coordinator) who collectively will oversee and assume all responsibility for the day-to-day operations of campus visits and events within the Office of Admissions.
  • Prioritize strategic decision-making and dynamic programming across all areas of campus visits, event planning, and student ambassador engagement with special attention given to demonstrating fiscal responsibility through management and monitoring of expenses, purchasing, and inventory management to ensure strategic and appropriate use of funds. Budget levels to be set by stakeholders and office leadership.
  • Supervises all professional staff on the Campus Visits & Events team - prioritizing and assigning work, conducting performance evaluations, ensuring staff are trained, ensuring employees follow policies and procedures, maintaining a healthy and inclusive working environment.
  • Hiring and staff review practices: Each staff member (Professional and student) within the Campus Visits and Events Team should be screened for and hired with a DEISJ growth mindset. The Office of Admissions is committed to incorporating DEISJ principles in campus events and visit experiences providing a world-class experience for all of our visitors.

Student Ambassador Leadership (30%)

  • Supervises all student ambassadors. Accountable to the team’s activities. Final decision maker
  • regarding selection and termination. Serve as a role model for the team.
  • Plan and lead comprehensive student training programs with priority given to diversity, equity and inclusion topics.
  • Provide ongoing and intentional leadership, onboarding, training and professional development opportunities, ensuring students understand and confidently execute office policies and procedures, maintain a healthy and inclusive working environment. Conduct a twice-annually student ambassador survey. Establish a regular schedule of mandatory ambassador meetings.
  • Maintain and implement an annual or bi-annual student ambassador hiring and onboarding plan. Execute a marketing and promotional activities. Organize a hiring committee responsible for interview and selection. The makeup of the team representing the current undergraduate student population with special attention to qualified bilingual students.
  • Provide oversight and leadership for a team of 3-5 student coordinators. Conduct an annual review of student coordinator position descriptions. Organize and oversee the annual application, interview and selection process for the student coordinator team.
  • Seek out opportunities and cooperate with approved requests for student ambassador participation in strategic marketing and communications initiatives including but not limited to engagement in student social communities, creation of student-produced and student-centered content (i.e. student blogs, yield outreach, campus photography, virtual tours, social takeovers, etc.), and requests from campus and university leaders.

Customer Experience & Event Management (30%)

  • Provide the highest level of extra-mile customer service to prospective students, their families,
  • school officials, community partners, and campus partners. Prioritize decision-making in alignment
  • with Office of Admissions service values, support Diversity, Equity, and Inclusion efforts, and best
  • practices in accessibility.
  • Communicate and convey expectations regarding maintenance and appearance of the Campus
  • Commons welcome experience daily campus visit and campus commons visitor experience.
  • Evaluate and approve digital screens
  • Provide high level support and direction for annual marquee recruitment events including but not limited to fall senior visit days, transfer experiences, sophomore/junior visit day, admitted student visit days, college access programming, and a high achieving recognition event. Oversee all aspects of planning and execution including approval of the program schedule and oversight of ongoing coordination, communications, and logistics.
  • Support relevant campus visit and event initiatives hosted by internal stakeholders for the purpose of future student recruitment and enrollment. Ensure effective and timely information sharing, clarity of purpose and programming, and accuracy in event communications and forms. Actively engage in planning meetings and proactively communicate with admissions staff to ensure adequate support and day-of execution.
  • Work with members of the recruitment team to review for approval all virtual and off-campus
  • event proposals to ensure alignment with existing and best practices regarding target audience,
  • customer experience, communications, logistics, and budget considerations.
  • Assist with managing, approving, monitoring and fulfilling requests for materials and branded swag items from internal campus partners.

Strategic Initiatives & Assessment (15%)

  • Work to continually evolve our experiences to meet customer needs, in partnership with campus colleagues, offices and programs. Enhance programming intended to serve underrepresented students and target populations. Promote college access and increase awareness through the implementation of innovative programs and initiatives.
  • Work directly with the Marketing & Communications Team to review and improve event
  • communications and registration forms. Strategize and coordinate with admissions marketing and communications staff to ensure communications timelines and deadlines are met in regards to event and visit success, and key customer insights are shared to inform future communications.
  • Maintain an ongoing commitment to grow knowledge of technology especially as it relates to the use of the Microsoft Office Suite and Slate forms, events, and portals in order to maximize use of technology and enhance the visitor experience.
  • Prepare an annual event report utilizing feedback from visit and event attendees, including
  • registration and post-event survey data. Strategically use this data to conduct gratitude activities
  • and inform campus stakeholders to event outcomes in addition to planned future improvements to the campus visitor and event experience.
  • Track effectiveness of recruitment efforts across event type (marquee, group visit, daily visit, offcampus) and provide timely, frequent stakeholder and leadership updates on planning and
  • outcomes as it relates to visits and events for future student recruitment.

Other duties as assigned (5%)

  • Be prepared to deliver daily presentations and information sessions to students, families,
  • community members and campus constituents as needed.
  • Providing support for day-to-day operations as part of the Office of Admissions, including assisting at the Admissions Office front desk when needed.

Minimum Qualifications:

Education:

A Bachelor’s degree is required.

Experience:

Minimum Experience:

  • Three or more years of direct project and/or event management experience in Admissions, recruitment, or a closely related field
  • Demonstrated commitment to providing outstanding customer service to internal and
  • external stakeholders
  • Demonstrated experience delivering presentations to groups of various sizes
  • Demonstrated commitment to principles of diversity, equity and inclusion
  • Personal or professional commitment to diversity as demonstrated by persistent effort, active planning, allocation of resources and/or accountability for diversity outcome
  • Demonstrated experience in advising, supervising and training large student teams
  • and/or full-time staff

Preferred Experience:

  • Proven ability to set work priorities, manage multiple projects simultaneously in a fastpaced
  • environment while meeting goals and deadlines
  • Strong interpersonal skills and critical thinking abilities
  • Demonstrated ability to work collaboratively and independently
  • Demonstrated ability to communicate across multiple stakeholder groups
  • Bilingual in Spanish and English
  • Experience creating and development informational materials for campus visits, events, and new student orientation
  • Participation in and/or facilitation of social justice training
  • Experience leading student ambassadors, orientation leaders and/or student transition
  • programs
  • Experience working with Slate Technolutions software, or other similar CRM systems

Certification/Registration/Licensing:

Must have a valid driver’s license or the ability to obtain a driver’s license by the employment

start date.

Ability:

Excellent interpersonal, written and verbal skills. Experience planning and executing large and

complex events for external audiences. Understanding of student development theory.

Working familiarity with typical desktop applications such as MS Word, Excel, Access and

PowerPoint, etc.

Employees at UNC receive sick leave, and other leave options may be available based on position. Full-time employees are eligible to receive tuition waiver benefits, as well as dependents and spouses of UNC Employees who are employed at 0.5 FTE or above are eligible for undergraduate dependent tuition grants of up to 50%. These tuition grants will cover in-state tuition charges. Further requirements may exist. Other benefits may be available based on position.
