Brief Summary of Work for this Position:

The Executive Assistant serves as administrative support for the College of Health and Human Services within the Office of the Dean. The individual must understand the operational responsibilities of the Associate Dean for Research and Faculty Affairs. This position must be able to autonomously:

  • complete research and "fact finding";
  • generate documents, reports and data representations;
  • anticipate the needs of administrators based on schedules, upcoming meetings, and the changing environment of the University;
  • complete work tasks with the appropriate levels of discretion to protect sensitive and/or confidential information; and,
  • provide support for activities (e.g., website management, events, trainings, production of written materials, maintenance of a resource center, etc. associated with the administrator's role.

Additional duties of the Executive Assistant include:

  1. providing general administrative support (calendar management, drafting/editing communications, creating spreadsheets, making travel arrangements, etc.);
  2. coordinating the work activities for other administrative support staff within the College in concert with the Dean's Executive Assistant;
  3. researching and recording information from external or internal resources for report generation and document creation; and
  4. addressing inquiries from faculty and staff, as well as other internal and external constituents.

  • This position requires researching, interpreting, and analyzing a variety of policies, procedures, and regulations in order to select the most appropriate course of action within specific procedural and operational guidelines.
  • This position is required to have considerable knowledge of the programs and activities of the College of Health and Human Services, the goals, priorities, policies, and commitments of the administrators it serves, and the operational structure.
  • The Executive Assistant must have significant knowledge of other internal and external organizational segments with which activities must be interfaced.
  • This position must have an understanding of external agencies and personnel to represent the unit and the CHHS appropriately.

Minimum Education and Experience Requirements:

  • Graduation from high school and three years of progressively responsible administrative/office management experience; or
  • graduation of a two-year secretarial science or business administration program and one year of experience as described above; or
  • graduation from a four-year college or university, preferably with major emphasis on Business administration or a related field; or an equivalent combination of training and experience. Degrees must be received from appropriately accredited institutions.

Preferred Education, Knowledge, Skills & Experience:

  • Bachelor's degree in business administration or related field; or an individual with progressive work experience substituted on a year-by-year basis.
  • Fundamental knowledge and understanding of the organizational structure of the University and various levels comprising Academic Affairs and the responsibilities associated with each level.

Hours Per Week: 40
Anticipated Hiring Range: $23 / hour
