POSITION SUMMARY
The Administrative Assistant provides administrative support to a member of the College's leadership team, the Vice President of Institutional Advancement. The Assistant is responsible for performing a broad range of duties associated with the proper operation and smooth functioning of the Institutional Advancement office. Under the direction of the Vice President, the Assistant performs highly responsible and complex administrative and clerical work, exercising independent judgment on a broad range of needs of the office, managing calendar of activities, correspondence and letter preparation, database entry, processing of invoices and tracking and monitoring of departmental activities. The Assistant serves as the liaison between the department and other areas of the College, including Cabinet and the President's office, as well as external constituents.
DUTIES AND RESPONSIBILITIES
- Schedule visits with prospects, donors, alumnae, corporate partners, grant funders and community leaders and coordinate travel arrangements as needed.
- Maintain and coordinate the Vice President's calendar including arranging for travel, vehicle and restaurant reservations.
- Update donor records in the Jenzabar database including visit notes and follow-up tasks.
- Assist with preparation of PowerPoint presentations.
- Attend and take minutes at Advancement Committee meetings of the Board of Trustees.
- Perform all necessary clerical functions for the Office of Institutional Advancement such as greeting and directing visitors, opening department mail, answering department telephone lines, typing, scanning, proofreading, filing, etc.
- Manage expense reporting process for the team.
- Coordinate office supply needs of the team.
- Coordinate stewardship elements such as alumnae/donor birthday cards and other key correspondence.
- Assist with donor stewardship and communication efforts.
- Maintain confidentiality in all aspects of the job
- Other duties as assigned by leadership
The pay rage for this position is $18-$20 per hour
Qualifications
Qualifications/Requirements
Education and Training
- Bachelor’s degree in an applicable discipline
- Prior experience in an administrative support role
- Familiarity with an academic environment preferred
- Knowledge of basic expense and budgeting practices
- Proficiency with applicable databases, systems and programs

Physical Requirements and Working Conditions
- Able to sit up to 90% of the working day and have sufficient dexterity to operate personal computer, printer, and other office equipment.
- Able to independently travel to various locations, both on and off campus, on behalf of the College
