Academic Administrative and Course Scheduling Coordinator
The Academic Administrative and Course Scheduling Coordinator reports directly to the Director of the University Writing Program (UWP), with a dotted-line reporting relationship to the Vice Provost and Dean of Undergraduate Education (VPDUE). This position serves as a key liaison between UWP and the ASSET HR and Finance teams and provides high-level administrative, analytical, and budgetary support, with a strong emphasis on class scheduling coordination and academic office operations. The Academic Administrative and Course Scheduling Coordinator collaborates with ASSET Finance to deliver data-driven insights that support UWP's academic and operational goals. In partnership with ASSET HR/Academic Personnel, the incumbent ensures the timely and accurate submission of academic personnel actions and student staffing requests, and helps coordinate onboarding for Senate faculty, lecturers, student staff, and academic student employees (ASEs). The role may include supervision of student employees. This position also manages class scheduling logistics for both the University Writing Program and the Division of Undergraduate Education (DUE), working closely with academic leadership and campus partners to ensure accurate and timely submissions. Additionally, the Academic Administrative and Course Scheduling Coordinator serves as the UWP liaison for pre- and post-award grant administration for designated funds and units. Success in this role requires the ability to manage multiple priorities in a dynamic environment, respond to evolving needs, and maintain a proactive, solutions-oriented approach.
The salary range for this position is $57,700 - $99,300 annually. However, the expected pay scale for this position is $57,700 - $76,200 annually. We base salary offers on a variety of considerations, such as education, licensure and certifications, experience, and other business and organizational needs.
Requirements:
- Educational Requirements: Bachelor's degree in related area and/or equivalent experience/training. Required.
- Experience Requirements: 4 - 7 years of related experience. Required.
- Minimum Requirements: Through knowledge of department and school/college general and major course and degree requirements. Advanced interpersonal skills to work with and gain trust from department senior management, faculty, and students. Advanced ability in problem identification, reasoning, analysis to identify trends. Advanced ability to find solutions to conflicting situations. Advanced communication skills to include verbal and written, active listening, critical thinking, persuasiveness, advising and counseling skills. Ability to use discretion and maintain confidentiality. Solid organizational and customer service skills to effectively manage multiple priorities. Solid skills to quickly evaluate complex issues and identify resolution. Advanced knowledge of course scheduling systems, academic planning processes, and enrollment management practices. Ability to coordinate scheduling logistics across multiple departments and academic units. Working knowledge of pre- and post-award administration, including budgeting, monitoring, and compliance with sponsor and institutional guidelines. Strong written and verbal communication skills with the ability to convey complex information clearly. Demonstrated ability to serve as an effective liaison among diverse stakeholders, including ASSET HR/AP, ASSET finance, and DUE/UWP academic leadership.
- Preferred Qualifications: Knowledge of common University-specific computer application programs. Thorough knowledge of department, organization, and University policies, procedures, and directives.
