Academic Advising Specialist (Multiple Vacancies)

The Office of Graduate Programs supports over 2,700 domestic and international students enrolled full- or part-time across a variety of specialized Master's, MBA, and Advanced Certificate programs including flexible online options designed to meet diverse professional and academic goals. The Office of Graduate Programs is hiring two Assistant Directors. One role will support the operations and student services for Zicklin’s graduate online programs. The second role will support the operations and student services for Zicklin’s campus-based programs. Each role responds to the corresponding Associate Director, and will contribute to the planning, delivery, and evaluation of advising and academic support services that promote student success, retention, and satisfaction. The Assistant Directors will collaborates with faculty and staff to ensure smooth program delivery and student engagement.
Key Responsibilities:
Program Operations & Advising
- Assist in managing day-to-day operations of Zicklin’s graduate programs.
- Conduct individual and group advising sessions via Zoom.
- Support students with course selection, registration, and graduation audits.
- Review incoming transcripts to determine eligibility for course waivers and enter approved waivers into the system.
- Maintain accurate advising records and follow up on student concerns.
Student Support & Engagement
- Respond to inquiries from students, faculty, and staff regarding program requirements, registration, and academic policies.
- Refer students to appropriate support services such as counseling, tutoring, and career development.
- Contribute to onboarding, orientation, and student engagement programming (virtual and on-campus). Some late evenings may be required.
- Support initiatives that promote student belonging and academic success.
Resource Development & Collaboration
- Create and maintain advising materials, guides, and web content tailored to online students.
- Collaborate with academic departments and faculty directors on course scheduling and program policies.
Professional Development & Special Projects
- Explore professional development opportunities and benchmark best practices in online education.
- Participate in special projects and contribute to continuous improvement efforts.
QUALIFICATIONS
Bachelor's degree and four years' related experience required.
Preferred Qualifications:
- Strong interpersonal, organizational, and communication skills.
- Ability to manage multiple priorities and work collaboratively in a fast-paced environment.
- Proficiency in Microsoft Office (e.g., Excel, PowerPoint, Word, and Outlook), web-based platforms, and social media tools.
- Master’s degree in higher education, business, or a related field and a minimum of four years of progressively responsible experience in higher education administration.
- Experience in academic advising or online graduate program administration.
- Familiarity with student information systems (e.g., CUNYFirst, EAB Navigate) and virtual communication tools (e.g., Zoom, Microsoft Teams)
- Prior experience with graduate business programs is a plus.
CUNY TITLE OVERVIEW
Administers an academic advising center or unit.
- Collaborates with other academic and administrative offices to maintain a comprehensive academic advisement program
- Ensures students are provided with consistent, accurate, and prompt advising services, coordinating with academic departments
- Works with students to resolve academic issues, providing information and/or referral
- Develops orientation programs to engage and retain students and instructs students, faculty and staff on use of advising technologies
- Conducts assessments to strengthen advisement programs
- Organizes and facilitates training for faculty advisors
- Develops print and online communication materials
- May supervise office operations and budget
- Performs related duties as assigned.

COMPENSATION AND BENEFITS
$90,838- $98,995;Salary commensurate with education and experience.
