Access Services Associate
The purpose of the Access Services Assistant position is to assist the Access Services Team in accomplishing the objectives of the Access Services Department by providing effective, efficient access to the materials in the Library’s collection, delivering quality support services that are responsive to the informational needs of the College community, implementing procedures for the organization, care and maintenance of the circulating and reserve collections, and helping to maintain an environment that is conducive to learning.
Essential Duties & Responsibilities
Circulation Operations (25%)
- Facilitate circulation of materials to patrons
- Retrieve reserve materials
- Check out materials using the automated library system
- Administer access and loan policies
- Register eligible patrons and enter confidential patron data
- Assist patrons in locating and using print and online resources
- Help patrons use the online catalog and specialized equipment (printers, computers, etc.)
- Maintain orderly stacks through straightening and shelf-reading
- Re-shelve materials using Library of Congress classification
- Place holds on checked-out items and email patrons if needed
- Inform patrons about the availability of held items
- Schedule group study room usage
- Conduct searches for missing materials
- Mend and relabel books as necessary
- Collect replacement fees
- Monitor exit gate count
- Compile shelving statistics
Supervision of Student Aides and Part-Time Staff (20%)
- Instruct student aides in circulation desk procedures
- Demonstrate tasks and supervise student practice
- Monitor the performance of student aides and part-time staff
- Assign tasks to student aides and part-time staff
Reserves and Electronic Reserves (20%)
- Create and maintain reserve lists in an automated library system
- Interpret and process faculty reserve requests
- Compile usage statistics for reserves
- For Electronic Reserves:
- Use Adobe Acrobat and a scanner to digitize documents
- Ensure electronic documents meet accessibility standards
- Use the ARES system to manage faculty accounts and course websites
- Upload documents to the web server
- Track usage statistics
Interlibrary Loan (20%)
- Process borrowing and receiving requests via Tipasa, ComCat, and ReShare
- Retrieve items for shipment
- Correct citations and locate items from free sources
- Maintain interlibrary loan statistics
General Duties (10%)
- Provide office support (answer phones, photocopying, word processing)
- Maintain public printers and copiers (refill paper/toner, clear jams, minor fixes)
- Call for repair services when necessary
- Log on guest users to the campus network
- Answer questions about library policies and hours
- Open and close the library
- Monitor cash flow and provide change
- Assist during emergencies
- Troubleshoot reference workstation issues
- Provide basic reference assistance in person and by phone
- Perform other duties as assigned
Student Overdues (5%)
- Email students about overdue items
- Search stacks for lost or overdue books before billing
- Bill for lost materials and fines
- Place blocks on student accounts
- Clear students during registration
Education & Experience
A BA/BS is required. Preference is given to applicants who are currently enrolled or interested in an MLS program. Previous supervision and library experience are highly preferred.
