The Division of Cardiovascular Medicine administrative team is seeking a highly qualified candidate who will work proactively to support the needs of multiple faculty. The ideal candidate must exercise initiative, judgement and discretion, independent decision making and workload prioritization. The ability to work as part of a team is essential to the success of a person in this position.

  • Provide general administrative support to multiple Cardiology faculty.
  • Excellent attention to detail and the ability to prioritize and meet deadlines.
  • Utilize discretion and appropriate judgement regarding sensitive and/or confidential matters.
  • Coordinate meetings and conferences, which may involve various locations, multiple departments, or teleconferences.
  • Provide complex calendar management. Ability to prioritize challenging schedules, obtain and disseminate pertinent information appropriately, and respond to changing schedules accordingly.
  • Coordinate travel arrangements and itineraries for faculty and visiting speakers.
  • Submit travel expense and reimbursement reports via the Shared Services Center.
  • Maintain CVs, NIH Biosketches, and other related documents.
  • Enter faculty schedules in QGenda and paging schedules in SPOK system.
  • Initiate, draft, edit, and/or proofread correspondence, itineraries, strategic documents, letters of recommendations, and presentations.
  • Assist faculty with time-off reporting, clinic closures and make-up clinics and track changes.
  • Order necessary office supplies and equipment.
  • Participate in required meetings, assist team members, provide back-up coverage for other administrative positions, participate in continuous improvement to protocols and processes.
  • Other tasks as assigned by supervisor or faculty.
  • HS Diploma or equivalent combination of education and 4+ years of work experience
  • Outstanding organizational skills and attention to detail.
  • Proven ability to prioritize and manage multiple tasks with competing deadlines and work effectively with frequent interruptions.
  • Works well both independently and in collaboration with faculty and staff as a team member.
  • Ability to adapt to different working styles and personalities.
  • Outstanding verbal and written communication skills.
  • Proficient in Microsoft Word, Excel, Adobe, PowerPoint, EndNote, and Outlook.
  • Positive, customer service attitude.
  • Associate or Bachelors degree or equivalent combination of education and experience; at least 5 years of senior level clerical experience.
  • Ability to relate to varied audiences.
  • Knowledge of University policies and procedures.
  • Understanding of medical terminology in an academic setting.
  • Proficient in University systems such as MiChart, Concur, Blue Jeans, and M-Pathways.
  • Excellent attendance record.

Hybrid work schedule (M-F)
