Administration Assistant
About This Opportunity
We are looking for a reliable, motivated and highly organised Administration Assistant to play a key role in supporting the smooth and efficient delivery of the Doctor of Medicine (MD) program at the PA–Southside Clinical Unit. In this dynamic position, you will work closely with the Team Leader to provide essential office coordination and administrative support, ensuring the unit runs seamlessly.
Your responsibilities will span data entry, maintain inventory, and contribute to the daily operations that keep our team functioning at its best. This is an excellent opportunity to join a supportive environment where your attention to detail and proactive approach will make a meaningful impact.
Key responsibilities will include:
- Provide administrative support across all years of the MD Program, including teaching room setup, basic data entry, preparation of examination and assessment materials, and assistance with timetabling and student allocations.
- Coordinate and maintain inventories of clinical consumables, teaching equipment and office supplies, while liaising with colleagues across clinical units and administrative teams.
- Support meetings, working groups and engagement activities such as orientation, intern preparedness sessions and Introductory Weeks, and assist with onsite space and equipment management in collaboration with UQ service providers.
- Contribute to continuous improvement of workflows and undertake other duties as reasonably requested by the supervisor.

About You
- Cert IV or Diploma with relevant work experience; Cert III with relevant work experience; or an equivalent combination of relevant experience and/or education/training
- Excellent verbal and written communication skills
- Demonstrated skills in providing a high level of customer service, including effective interpersonal skills
- Effective organisational, time management and problem-solving skills
- Demonstrated high level of proficiency in the Microsoft Office suite (Word, Excel, PowerPoint and Outlook).
- Relevant administrative experience in a higher education institution or similar environment would be considered an advantage
The successful candidate may be required to complete a number of pre-employment checks, including right to work in Australia, mandatory immunisations.
