Administration Support Officer

About the Role

Join a dynamic, high performing team where you’ll play a pivotal role supporting senior leaders and enabling the successful delivery of strategic initiatives across Swinburne Edge.

Reporting to the Executive Director, the Administration Support Officer provides high-quality administrative support to the Swinburne Edge Leadership Team. This is a highly visible role supporting the Executive Director and Portfolio Directors with day-to-day operations and the coordination of strategic projects.

The role requires a broad range of administrative skills, along with the ability to exercise judgement, initiative, discretion and independence. You will interact daily with senior staff across the University, as well as external clients and stakeholders, and play a key role in supporting the successful delivery of Swinburne Edge priorities.

About You

To be suitable for this role, you will have experience in the following key accountabilities:

  • Coordinating projects, including schedules, meetings, action tracking, documentation, reporting and budget support 
  • Providing high-level administrative and executive support, including diary management, committee coordination, preparation of agendas, papers, minutes and presentations 
  • Supporting leadership teams through effective communication, including preparation of reports, newsletters and performance updates 
  • Maintaining strong working relationships with senior stakeholders across the University and external partners 
  • Delivering a wide range of general administrative and office management support, including recruitment processing, invoicing, financial tracking, IT and facilities coordination 

Qualifications

  • A degree or associate diploma with subsequent relevant experience; or 
  • Extensive experience and related expertise in administrative, personal assistance and/or project coordination roles; or 
  • An equivalent combination of relevant experience and/or education/training 
  • A valid Working with Children Check (or the ability to obtain one prior to or upon commencement) is required.
