Why your role matters

The Executive Assistant is a pivotal role within the Deputy Vice-Chancellor Indigenous (DVCI) Division, delivering high-level executive support to the Pro Vice-Chancellor Indigenous Engagement and Research and the Pro Vice-Chancellor Indigenous Education.

This dynamic position requires sound judgement, initiative, and discretion to manage complex enquiries and support strategic priorities. You will provide seamless diary management alongside high-level administrative, communications, and logistical support, ensuring operations run efficiently and effectively.

Reporting to the Pro Vice-Chancellor Indigenous Education, this role is ideal for a proactive professional who thrives in a fast-paced, high-impact environment.

Specific accountabilities include:

  • Proactively provide executive support and assistance, whilst exercising discretion, initiative and confidentiality at all times.
  • Undertake diary, email and document management, including the monitoring and prioritising of emails and assisting with the preparation of official correspondence such as Governance paper submissions.
  • Act as the primary point of contact for internal and external, Indigenous and non-Indigenous stakeholders, maintaining effective and professional channels of communication, interpreting requests and correspondence to prioritise, and facilitating timely resolution of urgent matters.
  • Use superior interpersonal, culturally responsive communication and organisational skills to initiate and maintain productive working relations.

About You:

  • This position is open to Aboriginal and/or Torres Strait Islander applicants only.   • Relevant tertiary qualification with subsequent relevant experience or equivalent competence gained through any combination of education, training and experience.
  • Strong written and verbal communication skills, with a high level of attention to detail for deliverables produced.
  • High level organisational skills with proven ability to deal with multiple tasks, establish priorities and meet deadlines in culturally diverse contexts.
  • Excellent interpersonal skills with ability to liaise effectively with all levels of staff and range of external stakeholders.
  • Demonstrated experience supporting projects and initiatives, monitoring, and delivering projects within agreed timeframes.
  • Advanced level of computer literacy, working with a range of computer systems and applications, including Outlook and MS Teams.
  • Superior time management skills, with a demonstrated ability to respond to changing priorities, manage multiple tasks and meet competing deadlines by using judgement and initiative.
  • Proven organisational skills and the ability to operate autonomously while demonstrating strong initiative and a proactive approach to driving process improvement
