Job Description
Administrative & Program Specialist
The Administrative & Program Specialist is a key member of the Office of the Dean of Students and serves as the primary point of contact for walk-ins, phone calls, and email, acting as the office's front-facing representative. Core responsibilities include managing daily office operations; maintaining records; preparing materials and reports; handling confidential correspondence; coordinating meetings and events; and assisting with the office website and social media presence.
Reporting to the Assistant Dean of Community Engagement, the Specialist coordinates and helps to manage the office budget, including expense reconciliation, financial planning, and funding requests, and oversees the hiring, training, supervision, and payroll of undergraduate student employees. The role also supports staff logistics, including hiring, onboarding, training coordination, event logistics, and calendar management for the AVP/Dean.
Additional responsibilities include supporting students with disabilities by coordinating the timely implementation of accommodations and collaborating with campus partners. The Specialist also designs and implements projects, programs, and communications aligned with departmental strategic goals. This includes planning targeted initiatives for high-activity periods such as move-in, major athletic weekends, and signature campus celebrations; coordinating recurring programs such as Deans and Donuts; contributing to long-term initiatives like the BCaring campaign; and organizing the office's participation in campus-wide events, including Weeks of Welcome, Family Weekend, Wellfest, Orientation, and Commencement.
Hiring Range: $27.47/hour to $34.34/hour. Pay rate commensurate with relevant experience.
Requirements
- Bachelor's degree preferred
- Minimum of 1-2 years of experience in higher education or a related field
- Experience working with Student Affairs professionals, students, and campus leaders; familiarity with Student Affairs practices at R1 institutions, ACC schools, and/or Jesuit universities is helpful but not required
- Demonstrated ability to work effectively with diverse populations and contribute to inclusive and equitable communities
- Proven ability to manage multiple priorities independently and collaboratively across departments
- Experience managing budgets and exercising discretion with sensitive or confidential information
- Strong communication and interpersonal skills, including written and verbal communication and the ability to navigate and de-escalate conflict
- Experience managing social media, website content, and event communications
- Ability to manage multiple projects, navigate institutional systems, and train and support staff
- Understanding of Jesuit education principles and a commitment to service; prior experience at a Catholic university preferred
- Interest in developing innovative engagement opportunities for students and staff
