Position Summary
The Administrative Specialist is responsible for providing high-level programmatic and administrative support for the Meyer Cancer Center's portfolio of scientific, academic and administrative initiatives.
Job Responsibilities
- Provide support to the administrative team of the Meyer Cancer Center (MCC), especially in relation to National Cancer Institute (NCI) designation, and serve as the primary point of contact for MCC Senior Leadership activities
- Support the MCC's Research Programs and Research Program Leaders and Working Group Leaders as needed. Coordinate all activities related to the responsibilities of the MCC senior leaders.
- Coordinate all aspects of scientific group meetings, visiting lectureships, seminars, and symposia, including, but not limited to, consultation on meeting content, coordination of participant schedules, drafting follow-up correspondence.
- Support ongoing recruitment efforts; coordinate search committee meetings, candidate itineraries, travel arrangements, and meeting schedules.
- Facilitate and ensure completion of business-related expense reimbursements; submit completed expense reimbursement forms along with all supporting documentation for review and final submission.
- Organize and maintain MCC records including recruitments, minutes of search committee and program planning meetings, MCC membership data, and philanthropic projects.
- Coordinate with other departments and communications outlets for dissemination of relevant information and announcements.
- Compile all MCC and tri-institutional seminars, events, and funding opportunities for the weekly MCC event calendar.
- Support the senior leaders in coordinating cancer center support grant site visits of national/international cancer experts, university leadership, hospital leadership, and NCI personnel.
- Performs other duties as assigned or required.
Education
- Bachelor's Degree
Experience
Three years' experience providing administrative support to senior leadership in an academic setting
Experience in academic medicine or a research environment
Experience in supporting a senior level executive
Strong interpersonal, oral and written communication and organizational skills
Exceptional attention to detail
Expert MS Office Suite skills
Previous cancer center experience highly desired
Knowledge, Skills and Abilities
- Ability to exercise standards of professionalism, including appearance, presentation and demeanor.
- Demonstration of strong organizational and planning skills that reflect ability to prioritize competing demands and complete actions items efficiently under minimal supervision.
- Able to maintain a high level of confidentiality.
