Adult Programming Coordinator
We are searching for an experienced Adult Programming Coordinator at our Goldsmith Campus - Westchester campus.
Primary Duties and Responsibilities:
The Adult Programming Coordinator supports administrative and hands-on processes related to adult student populations in various programs within the Extension department. The coordinator will work closely with certificate programs in addition to other initiatives as needed.
Must be able to work on-site on Otis's campus to complete department work functions that need to be handled in person, as determined by the Executive Director of Extension and the Director of Adult Programming.
The Extension department consists of adult and youth education programs, certificate programs, K-12 and pre-college programs including Summer of Art and youth camps, partnership programs, and career and technical education programs.
CORE DUTIES and RESPONSIBILITIES:
- In coordination with the Director of Adult Programming, support all administrative facets of adult certificate programs and general adult programming.
- Maintain workflows to track processes and communicate with teammates using apps including Microsoft Teams, Google Sheets, Google Docs, and Formstack.
- Ensure student needs and concerns are addressed in a timely and professional manner to provide a positive experience for students.
- Process certificate applications and certificate completions according to department deadlines.
- Coordinate independent studies and final portfolios while assessing individual student eligibility and academic needs.
- Serve as the lead for all questions/inquiries from current, former, and prospective Extension students regarding information related to any certificate program or stand-alone program/workshop.
- Facilitate student support services (including Career Services and Library) for eligible certificate students.
- Advise students on certificate curriculum and programmatic issues via phone, email, and Zoom in group and one-on-one settings.
- Present on certificate programs in information sessions and other departmental events.
- Provide proofing assistance with course builds, including implementing edits as needed.
- Coordinate various academic and outreach events, including info sessions, social events for students and instructors, and special programs held throughout the year.
- Track, communicate, and facilitate logistics on behalf of students with special circumstances, such as Alternatively Funded and voucher students.
- Provide ongoing admin support across all curricular programs on-site and remotely.
- Provide excellent customer service to current and prospective students by creating a welcoming environment and building working relationships with individuals and groups of students.
- Perform research on Extension's competition, trends in the marketplace, and other necessary topics that will aid Extension's ability to offer the most relevant programming possible.
- Ensure that all students who successfully complete a certificate program receive their official, physical certificate and all necessary paperwork/acknowledgments.
- Supervise student workers, as determined by the Executive Director of Extension and the Director of Adult Extension Programming.
- Stay abreast of certificate and adult program areas' curricula and trends, interfacing with instructors and industry experts to gather additional insights and feedback.
- Support department marketing efforts through reviewing documents, providing feedback, participating in meetings, and providing program expertise.
- Performs other related duties as assigned.
Required Qualifications:
The required skills and education for this position include a bachelor's degree or equivalent work experience with 1-3 years office administrative experience; proficiency with Microsoft Suite, Word, and Google apps; math skills; excellent organizational skills with attention to detail; familiarity with data entry and tracking; and excellent verbal and written communication skills. The successful candidate must be a self-starting, hardworking, creative, strategic thinker capable of multi-tasking, working professionally with current, former, and prospective Extension students. They must be able to always provide outstanding customer service; work both independently and as part of a team; and have excellent management and communication skills (both verbal and written). Knowledge of policies, procedures, and regulations affecting student registration and enrollment, student privacy, and FERPA is required. They must have demonstrated commitment to working with diverse populations of students, faculty, and staff.

FLSA Status: Non-Exempt
Compensation Type: Hourly Wage
Salary Range: 21.77 - 25.77
