Position Overview:

This full-time (1.0 FTE) non-exempt, regular, benefit-eligible staff position reports to the Director of Parent and Family Giving, and provides administrative and project support for the Associate Director of Milestone Reunions. 

The Alumni and Parent Giving Coordinator is part of a successful Development and Alumni Relations team. Collectively, the Annual Fund raises more than $10 million from alumni, parents, and friends of the College each year, and consistently leads in the percent of alumni participation. The staff consistently maintains best practices while meeting the goals for the operating budget and alumni and parent engagement, and identifying areas of growth and innovation.   

Essential Job Functions/Responsibilities: 

  • Provide primary support for print, email, and web communications for 25th Reunion, Parents Fund, and general parent communications
  • Coordinate and execute all 25th Reunion-related print, email and web communications, working with volunteers as needed on content, proofing and sign-off.
  • Assist the Director of Parent and Family Giving with execution of solicitation plans for the Parents Fund.
  • Assist the Director of Parent and Family Giving with bi-weekly Parents and Families e-newsletter and other parent communications.
  • Support the positions noted above, and the greater mission of the department. 
  • Coordinate approvals and receipt collection for purchasing card program for the staff listed above. 
  • Ensure documentation of correspondence, volunteer activity, and other important items are completed appropriately in Advance, OnBase, DropBox, etc.
  • Accurately update lists of volunteers as needed for parent and 25th Reunion volunteers. This includes coding in the CRM, website, and email lists.
  • Assist with the general work of the department as needed.
  • Contribute to planning for significant parent events
  • Collaborate with Events team and Director of Parent and Family Giving to plan event line-up, communication plan, and execution of Family Weekend
  • Collaborate with Director of Parent and Family Giving and Alumni Relations colleagues to plan and staff Summer Send-Off events held online and across the country to welcome incoming students and families
  • Provide primary support for major on-campus and offsite meetings of volunteers
  • Coordinate communication, projects and meeting logistics and provide on-site support for meetings of the Parents Advisory Council and 25th Reunion committees. Provide support for the 25th Reunion committee during the Carleton Alumni Volunteer Experience Weekend. 
  • Serve as a primary source of on-site support for 25th Reunion and Family Weekend events.
  • Develop planning and communication timelines for events and group meetings, support development of trip itineraries, and provide written communications as needed.
  • Coordinate reimbursement of volunteers for appropriate expenses.
  • Coordinate travel and lodging for volunteers as appropriate.
  • Coordinate catering and/or restaurant reservations and menus as appropriate.

Education/Experience/Skills: 

Required: 

  • A.A Degree and 3 years of experience, or 5 years of experience in lieu of degree
  • Proficiency with managing and prioritizing multiple tasks.
  • Highly organized, detail-oriented, and committed to excellence.
  • Effective oral and written communication skills, with the judgment and discretion to handle confidential or sensitive matters.
  • Comfortable working within a range of technological platforms, learning new ones as needed (including Asana, G Suite, Adobe Creative Suite, MyEmma, Microsoft Office, Ellucian Advance, WordPress, Canva, Thankview, Salesforce, Slate, Panopto, and Imagen).
  • Appreciation for and commitment to the liberal arts mission, and understanding of how alumni and parent engagement supports the overall advancement goals of the College. 
  • Team-oriented and collaborative; commitment to work with partners across the campus community and collaborate within the External Relations team.
  • Ability to travel; some evening and weekend work is required.

Must have the ability to understand and follow written and oral work instructions, operations, safety procedures, and hazardous labels.
