POSITION SUMMARY: The Biology Laboratory and Grants Coordinator for the Department of Biological Sciences is responsible for the supervision and maintenance of the Biological Sciences stockroom, equipment, and laboratories. The Coordinator will also place and track orders for equipment and supplies, and prepare the teaching laboratories in the Department of Biological Sciences in coordination with faculty. Note that because of the significant overlap between Biology and other life science programs at Moravian (Biochemistry, Neuroscience, and Environmental Science), the duties associated with this position also apply to those programs to some degree, as determined by the department chair.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
Biology Laboratory Coordinator:
- Places and tracks orders for equipment and supplies needed by the department for teaching and research, in coordination with faculty and the chair
- Stays current with training for all purchasing platforms (Oracle)
- Assists the chair with tracking and managing the department budget; maintains an organized record of departmental expenses
- Manages and tracks faculty start-up funds for department faculty, and others as needed
- Serves as Biological Sciences liaison with outside vendors and contractors and coordinates equipment maintenance, servicing, cleaning, and repair
- May, on rare occasions, need to deal with deliveries or coordinate equipment maintenance outside of normal working hours
- Works with faculty to coordinate care of departmental plants and animals
- Prepares, orders, stores and distributes samples, chemicals and other materials for the Department of Biological Sciences.
- Maintains accurate and up-to-date inventory records of chemicals and supplies in the Department of Biological Sciences and prepares reports as needed for department, campus, and regulatory agencies in a timely fashion.
- Supervises the hiring, training, and work of laboratory teaching assistants and student workers who assist with plant and animal care for the Department of Biological Sciences
- Organizes and maintains teaching laboratories and lab preparation areas (including the greenhouse) in collaboration with the department faculty.
- Assists faculty with the oversight and maintenance of the Animal Facility.
- Coordinates with the campus Environmental Health & Safety Officer regarding the storage and disposal of chemical and biohazard waste for the department in the Hall of Science and Health Science Building.
- Coordinates with the campus Environmental Health & Safety Officer to ensure faculty, staff, and students maintain safe laboratory practices, adhere to the department’s Chemical Hygiene plan, and comply with all relevant OSHA regulations.
- Works with EHS Officer to ensure that first aid and spill kits are inspected monthly.
- Attends departmental meetings as necessary.
Grants Coordinator:
- Collaborate with Development and Business Office for review and approval of reimbursements, purchases, quarterly budget reviews, indirect fund drawdown updates, and new grant PI onboarding.
- Manage purchasing and delivery of supplies, small lab equipment, and large instruments.
- Maintain accurate grant records and share with the business and grant office.
- Act as liaison between PI and vendor representatives to review contract pricing and support details, purchase agreements, and negotiate vendor pricing and complete price comparisons.
- Meet with Principal Investigators to review budgets, project deadlines, and anticipated needs.
- Assist in travel logistics for national and international field research (purchasing plane tickets, accommodations, etc.).
- Assist in coordinating vehicle maintenance for departmental vehicles
- Create and implement guidelines related to indirect fund usage in coordination with grant agency, PI, and department faculty/staff recommendations.
- Manage and track department and PI indirect funds.
- Assist in coordination and communication in infrastructure updates to research labs.
- Ensure the research areas meet compliance with external regulatory standards (i.e NSF, NIH, and IACUC).
QUALIFICATIONS: A baccalaureate degree in a related scientific field, with knowledge of acceptable laboratory practices and safety. A valid state-issued driver's license is required. Prior laboratory coordination experience is preferred. Familiarity with OSHA standards, biosafety compliance and general chemical safety procedures. The position demands excellent organizational and interpersonal skills (verbal and written), and an ability and desire to work closely with all constituencies of the University including students, faculty and staff. Computer literacy as well as experience with Microsoft Office, Google Suite, particularly database applications, word processing and spreadsheets is essential. Prior experience in higher education is beneficial.
