Casual Administration Assistant

Seeking a casual Administration Assistant to provide administrative and operational support, while helping improve efficiency across the Department.
- Salary: $54.04 per hour (HEW Level 4), plus 12% superannuation

The Role
The Department of Linguistics is currently seeking a casual Administration Assistant. The successful candidate will provide operational and administrative support and contribute to the improvement of operational effectiveness across the Department.
Key Accountabilities
Reporting to the Department Operations Manager, you will:
- Provide general administrative support to staff including facilities management, office and IT equipment and website enquiries.
- Provide administrative support for logistics, room bookings, travel, material preparation and/ or other administrative activities.
- Undertake transactional administrative and financial activities across the full scope of department functions. This includes supporting purchasing, invoice payments and reimbursements.
- Coordinate and participate in department committees including scheduling meetings, preparing agendas, minutes, and any follow up actions as required.
- Organise on and off-site meetings including arranging all bookings, catering, transport and appropriate resourcing.
- Respond to, or appropriately escalate, queries about the department and its activities.
- Support the appointment and onboarding of new staff, HDR students, honorary appointees, visitors and volunteers to the department in accordance with WHS and other University requirements.
- Provide event coordination and administration support for Department events.
- Provide administrative support and work with relevant stakeholders to update and maintain websites and SharePoint sites as required.
- Assist with the implementation of improvements to administrative systems, processes and procedures as required.
- Comply with relevant professional standards and codes of ethics and EEO and WHS regulations.
- Perform any other duties as required and appropriate for this classification.
About You
You will have previous experience in an administrative role and enjoy delivering operational and administrative support in a busy environment. You will have excellent attention to detail and be able to communicate and present information clearly to a wide variety of people. You will be a motivated and proactive self-starter who works well in a complex environment and has a passion for customer service. You will have experience in Office 365 and intermediate excel skills (advanced is desirable) with demonstrated experience working with multiple sets of data and be comfortable working with excel functions.

- Demonstrated time management and organisational skills, including the ability to coordinate and deliver to deadlines
- Demonstrated experience in providing general administration in a complex environment, preferably in higher education.
- Proven ability to coordinate multiple activities with minimal supervision while delivering to tight time frames.
- Ability to work autonomously and collaborate with other teams
- Strong customer service focus and ability to work and communicate effectively with a diverse range of stakeholders
- Experience in Microsoft 365 and intermediate excel skills including demonstrated experience working with multiple data sets (advanced level excel skills are considered highly desirable)
