Job Details

Position Purpose:

The Catalog and Curriculum Analyst supports learning by assisting with efficient and effective class scheduling, methodical curriculum maintenance and management, timely and accurate university catalog maintenance and production, and precise and proactive degree audit coding and maintenance. Works collaboratively with other student services offices, information technology, faculty, academic units, other campus offices, students, and alumni. Contributes to the team by assisting with the day-to-day operations of the Office of the Registrar as needed.

Essential Job Functions:

  • Assist with the creation and maintenance of the master schedule of classes in Ellucian Colleague as well as associated timelines and related duties preparing for registration. Coordinate academic course schedule maintenance, input, security, and display. Assist with the Ellucian Colleague and Coursedog workflow and integration.
  • Assist with the creation, maintenance, and posting of the final exam schedule.
  • Coordinate the creation of and maintenance of the university’s classroom inventory and manage the classroom assignments as part of the schedule of classes and final exam schedule.
  • Coordinate university-wide curriculum maintenance and updates, including the processing of and data entry for course and program approvals, modifications, and inactivations via Ellucian Colleague and Coursedog software workflows and integrations.
  • Key role in the production, maintenance, and archiving of the undergraduate, graduate, and academic regulations university catalogs via the Courseleaf/Coursedog software package workflow.
  • Under the direction of the university registrar, coordinate the Ellucian Colleague degree audit system; including coding, maintenance, and enhancements; and using degree audit to verify student degree requirements fulfillment. Create (new) and modify (changed) degree program encoding in coordination with university curriculum approvals. Monitor degree evaluation exceptions and student status pertaining to missing requirements and degree completion with data integrity reports.
  • Assist with the coordination of university commencement activities related to the Office of the Registrar, including preparation/proofing of materials for the commencement program, lists of potential participants, graduation honors, ceremony check-in, marshaling, and other related tasks.
  • Assist with transfer course evaluation and articulation process and maintaining and updating the CollegeSource Transfer Evaluation System (TES).
  • Assist with the accurate and efficient collection, recording, and maintenance of academic, biographical, and demographic records of prospective, current, and former students.
  • Create and maintain a processes and procedures manual for areas of responsibility for use by management and staff for training and reference.
  • Assist with supporting the university community for student education records security, rights, and privacy; serve as a resource for FERPA questions and compliance.
  • Participate in professional development, conferences, classes, workshops, seminars, webinars, readings, etc. Represent the office/campus on professional committees and in professional organizations.
  • Assist with student registration and withdrawal, processing academic transcripts, enrollment/degree verification requests, class roster verification, processing updates to student records, records imaging, and other data entry as needed.
  • Answer telephone calls, respond to emails, and assist walk-in visitors as needed.
  • Other duties as assigned.

Essential Job Requirements:

Education:

  • Bachelor's degree or an equivalent combination of education and relevant work experience is required.

Experience:

  • Two years of office/administrative experience required.
  • Prior Registrar's Office and/or university experience preferred.
  • Prior Ellucian Colleague experience preferred.
  • Understanding of FERPA, student records privacy, data security, and other legal issues relating to academic records/history preferred.

Skills:

  • Strategic thinking with the ability to identify and solve problems while handling multiple tasks simultaneously.
  • Positive attitude and flexibility to adapt to changing needs.
  • Strong interpersonal skills and the ability to interact, work, and collaborate effectively with a diverse population of constituents.

  • Excellent organizational skills with good attention to detail. Ability to interact in person, via email, via telephone, and via other electronic media.
  • Excellent oral and written communication skills.
  • Proficient in using Microsoft Office applications including Word, Excel, and PowerPoint.
  • Ability to handle confidential and sensitive information with great care and considerable discretion.

Physical Requirements:

  • Ability to sit or stand while working at a computer station for long periods of time.
  • Ability to utilize basic office equipment, i.e., a computer.
  • Ability to communicate and interact in person, via electronic mail, and via telephone.
  • Ability to move around campus.

The anticipated pay rate for this position is $55,000-$67,000 per year. This compensation is subject to change at the sole discretion of the university, based on institutional needs.
