Clinical Trial Assistant

  • Full-time, 12-month fixed-term, based at the Chris O'Brien Lifehouse
  • Exciting opportunity for a Clinical Trial Assistant to join the National Health and Medical Research Council (NHMRC) Clinical Trials Centre (CTC) at the University of Sydney
  • Base Salary $89,755 - $100,495 + 17% superannuation

About the opportunity

The NHMRC CTC is a flagship centre of excellence in clinical trials and related research at the University of Sydney. We design and deliver trials and related research, including coordination, monitoring, data acquisition and management, and statistical analysis. Our health economics, biostatistics, systematic reviews, and biomarker teams work with trial data to inform healthcare providers about best practices.

In this role, you will be supporting the delivery of high-quality clinical trial activities across multiple concurrent projects. Working under the general direction of the Trial Operations Coordinator and Project Manager, you will play a key part in maintaining essential trial documentation, coordinating daily administrative functions and ensuring operational activities run smoothly. You will support staff, study sites and collaborative groups through accurate information management, proactive problem-solving and timely coordination of trial-related tasks. This is a hands-on, fast-paced and detail-oriented role where your organisational strengths and initiative will support the effective delivery of impactful clinical research.

Your key responsibilities will be to:

  • Provide high-level administrative and operational support by delivering efficient daily services, coordinating correspondence, and maintaining accurate records and filing systems.
  • Coordinate administrative tasks for meetings including preparing materials, organising venues and catering, arranging teleconferences, and taking minutes.
  • Develop, maintain and track trial documentation, study materials, online content and relevant databases in accordance with SOPs and project requirements.
  • Support ethics and regulatory processes by preparing, distributing and tracking submissions, safety data and study documentation.
  • Process site payments and invoices, and maintain up-to-date tracking tools for recruitment, trial supplies, study data and site contacts.
  • Contribute to continuous improvement by identifying administrative issues, proposing solutions, and undertake training to maintain International Council for Harmonisation (ICH) Good Clinical Practice guidelines (GCP) knowledge.

About you

  • Bachelor's degree in Public Health or a relevant field.
  • Demonstrated experience in high-volume administrative environments, ideally within health or clinical trial settings, with strong attention to detail and accuracy.
  • Well-developed communication and interpersonal skills, with the ability to work independently under general direction and collaboratively within diverse teams.
  • Strong problem-solving skills with the ability to prioritise competing tasks, use initiative and exercise sound judgement in resolving issues.
  • Working knowledge of clinical trials processes, including ICH GCP guidelines, protocol requirements, medical terminology, and basic clinical trials administration.
  • Proficiency with database systems, content management systems and the Microsoft Office suite, including managing electronic documentation and spreadsheets.
