Class Summary
The Community Events Coordinator is a dynamic and highly organized professional responsible for fostering strong relationships between the College and the wider community through effective event management and outreach. This role oversees all aspects of community-led space reservations, represents the College at various external functions, and expertly coordinates a diverse range of internal and special events, including those held at our satellite locations. The ideal candidate will be a proactive communicator, a meticulous planner, and a passionate advocate for the Colleges mission and values.

Minimum Education/Training/Experience
- Associates degree, bachelors degree preferred in logistics, event management, or related field.
- 3 years of progressive experience in event planning, community relations, or a similar role, preferably in an educational or non-profit setting.
- Proven ability to manage multiple projects simultaneously, prioritize tasks, and meet deadlines in a fast-paced environment.
- Exceptional interpersonal and communication skills (written and verbal), with the ability to engage effectively with diverse audiences.
- Strong organizational skills and meticulous attention to detail.
- Proficiency in event management software and Microsoft Office Suite (Word, Excel, PowerPoint).
- Ability to work flexible hours, including evenings and weekends, as required by event schedules.
Preferred Education/Training/Experience
- Experience working with or knowledge of higher education institutions, particularly community colleges.
Job Duties
Community Space Reservations
- Manage and oversee the reservation process for all College spaces utilized by external community groups, ensuring efficient scheduling, adherence to policies, and optimal resource allocation.
- Serve as the primary point of contact for community organizations seeking to reserve College facilities, providing excellent customer service and clear communication.
- Develop and maintain a comprehensive calendar of community space bookings, proactively identifying potential conflicts and proposing solutions.
- Ensure all necessary permits, insurance, and logistical requirements are met for external events utilizing College property.
Community Representation & Outreach
- Act as a visible and engaging representative of the College at various community functions, including but not limited to Chamber of Commerce meetings, Rotary Club events, local festivals, and tabling events.
- Promote College programs, initiatives, and opportunities to the community, actively seeking to expand partnerships and enhance the Colleges public image.
- Network with community leaders, businesses, and organizations to identify collaboration opportunities and strengthen College ties.
- Assist with coordination and preparation to deliver presentations about the College to external groups as needed.
Internal Event Coordination
- Plan, organize, and execute a variety of internal College events, including Employee Recognition Dinner, Holiday Celebrations, Convocation and community events.
- Support special meetings with external groups (e.g., donor events, legislative visits)
- Manage all logistical aspects of internal events, including venue selection, catering, audio-visual needs, decor, guest lists, invitations, and on-site coordination.
- Collaborate closely with internal departments and stakeholders to ensure seamless event execution and alignment with College objectives.
- Develop and manage event budgets, tracking expenses and ensuring cost-effectiveness.
General Event Coordination
- Develop and implement event plans, timelines, and checklists to ensure successful execution of all events.
- Coordinate with internal and external vendors (e.g., caterers, rental companies, AV technicians) to secure necessary services and equipment.
- Oversee event setup, execution, and breakdown, ensuring a smooth and professional experience for all attendees.
- Conduct post-event evaluations to assess effectiveness, gather feedback, and identify areas for improvement.
- Maintain accurate records of all events, including attendance, expenditures, and feedback.
Physical Requirements
- Ability to stand, walk, and move around for extended periods during events.
- Ability to lift and carry up to [e.g., 25] pounds occasionally.
Salary Range
Minimum Salary Range: $52,559
Maximum Salary Range: $65,699
