Lake Tahoe Community College (LTCC) announces an opportunity to work with the scheduling team as the Program Assistant.

LTCC facilities and fields serve not only instructional programs but also a wide range of community and non-academic users who rely on these shared spaces for events, activities, and public services. To support this essential community-facing function, LTCC seeks a detail-oriented Program Assistant dedicated to coordinating non-academic field and facility use. This position is responsible for managing booking requests, processing and tracking rental invoicing, and maintaining accurate records of usage—ensuring smooth operations, clear communication, and reliable access for the many partners and groups who utilize LTCCs spaces beyond the classroom.

APPLICATION PROCESS:
After review, suitable applicants will be invited by phone or email on or around Wednesday, January 7, 2026 to participate in a skills assessment. Successful candidates will then be interviewed by a committee of approximately 3-5 individuals; these interviews are tentatively scheduled for January 21, 2026. Meeting the minimum requirements does not guarantee an interview. LTCC reserves the right to return to the applicant pool at any point during the recruitment process.

COMPENSATION:
Salary Range: LTCC offers a competitive compensation package that includes a starting placement salary of $30,133 to $33,272 annually, dependent on education and experience. There is potential to reach $38,607 annually, through step advancement plus longevity when appropriate. In addition to base salary, this position qualifies for extra bilingual (Spanish), masters or doctorate pay.

Benefits: LTCC also matches 27% of an eligible employees salary and contributes it into a CalPERS pension account for qualifying employees.

Work-Life Balance: This position is 28 hours per week and 12 months per year, including summer and winter hours. Hours are expected to be Monday-Friday, generally within the hours of 8 am to 5 pm, hours may vary according to the needs of the program. This position is eligible for overtime compensation (non-exempt).

LTCC provides a generous leave package including 17 paid holidays per year plus 12 days vacation (with the potential to reach 24 days through years of service) and 12 days sick leave per year.

Description

Definition:
Under the direction of an assigned Director or Administrator, provide administrative, operational, and program-specific support to ensure a program runs smoothly. Key duties include managing schedules and calendars, handling communications (emails, calls, minutes), assisting with event planning and logistics, maintaining program documentation, coordinating with stakeholders, and performing basic financial tasks like processing payments and assisting with tracking expenses.

Distinguishing Characteristics:
The Program Assistant provides direct support for a college program by answering questions and providing general guidance. It is distinguished from the Office Assistant by the decision making authority and reporting relationship.

Representative Duties:
Guide and assist faculty, staff, students, and the public by answering questions and providing general information regarding the program.
Administrative and Clerical Tasks
Answer phones, respond to emails, and act as a liaison with internal teams, external consultants, and program participants. Compose correspondence; copy, mail, and distribute materials; receive, open and distribute mail.

Manage calendars, schedule meetings, and make appointments.

Prepare and proofread documents, take minutes for meetings, and maintain program records and filing systems.

Process invoices and payments, purchase requisitions, and help with tracking expenses.

Make travel arrangements when necessary, book meeting rooms, and handle personnel or administrative forms such as payroll timesheets for program and forward for processing.

Program-Specific Support
Monitor progress for various program needs; distribute information and support regarding program functions. Generate reports for documentation; verify information for accuracy before submitting documentation to the supervisor for review.

Collect, enter, and organize data, and maintain databases related to program activities. Gather, compile and collate statistical information and other data.

Organize, establish and maintain record keeping systems for correspondence, documents, materials and other various data needs.

Record and log incoming information and follow up on missing or incomplete information.

Conduct basic research to support program initiatives and assist in compiling data for reports.

Accept and process forms and applications requested of individuals.

Provide technical guidance on regulations specific to assigned program.

Provide information on policies and procedures of department/work unit activities.

May provide direction and oversee work of workstudy students.

Serve on a variety of District committees as requested. Participate in district all staff events including but not limited to all campus team building day, convocation, state of the college address, senior day, and graduation.
Other Duties:
Perform related duties as assigned.

Schedule Production Option Class

Coordinate scheduling and administrative support for CPC field space and campus facilities used for external and non-academic purposes. Manage booking requests, process rental invoicing, and maintain accurate records of usage and fees. Monitor for potential scheduling conflicts and collaborate with the administrator to resolve issues efficiently. Facilitate space reservations for college community events and external meetings, ensuring smooth operations and consistent communication with stakeholders. Assist academic scheduling with schedule production, compliance checks, and system ownership (Colleague/EMS integration, MIS/320 readiness, finals calendar, caps, etc.) when necessary.

Education and Experience

Education and Experience:
Any combination equivalent to: high school diploma or GED and two years of general clerical experience involving public contact to include experience with data management.

Knowledge of:

  • Modern office practices, procedures and equipment.
  • Reception and telephone etiquette and techniques.
  • General clerical and record-keeping techniques.
  • Basic letter and report writing practices.
  • Correct English usage, grammar, spelling, punctuation and vocabulary.
  • Interpersonal skills using tact, patience and courtesy.
  • Scheduling methods.
  • Budget management and maintenance practices and procedures.
  • The needs and challenges facing economically and socially disadvantaged students.

Ability to:

  • Work well with the socially and economically disadvantaged, disabled and diverse populations.
  • Maintain current knowledge of application software and operating systems used in assigned programs.
  • Prepare data reports from a variety of sources.
  • Work cooperatively with others.
  • Communicate effectively both orally and in writing.
  • Establish and maintain cooperative relationships with those contacted in the course of work.
  • Establish and maintain a variety of files, logs and records in organized and detail-oriented fashion.
  • Demonstrate a sensitivity to and understanding of the diverse academic, socioeconomic, cultural, linguistic, ethnic backgrounds, and disabilities of community college students and staff.
