Coordinator, Admissions Programming (College of Medicine-Phoenix)
Position Highlights
The primary purpose of this position is to assist department leadership with strategic planning and executing recruitment and retention events. This includes managing the financial elements, coordinating campus and community engagement, and overseeing and running event logistics. In addition to the event focus, the position will be the primary resource for all main financial transactions for the department.
Flexibility is required with occasional late evenings and/or weekend work as needed.

Duties & Responsibilities
- Collaborates with Admissions and Recruitment leadership to develop strategic plans for department programming.
- In collaboration with internal and external constituents, develops and implements plans and strategies for admissions programming and recruitment on and off University property.
- Coordinates special programs and other activities supported by the office.
- Provides assistance with arranging venues, catering, equipment, technological needs and other elements crucial to coordinating successful admissions programs, from smaller interview days to larger functions.
- Coordinates with Student Ambassadors to support events, including participation with tours, meet-and-greets with prospective and new students, and other events as needed.
- Handles financial transactions for the office, including projected meeting expenses, travel reimbursements, and accounts payable. Processes purchase orders, invoicing, check requests, and credit card payments using the departmental procurement card (pcard).
- Monitors, maintains, and reconciles detailed budgets for various accounts; advises on and ensures expenditures align with budget guidelines; informs management of irregularities and proceeds with corrective action.
- Prioritizes and arranges meetings, conferences and appointments for Admissions Deans and staff; makes necessary travel reservations and itineraries; determines and prepares needed background materials.
- Organizes and/or prepares departmental administrative and financial reports; analyzes, summarizes and interprets information; recommends action to be taken.
- Assists the office in preparing and finalizing correspondence. This may involve research, collecting and analyzing information, and reporting findings.
Knowledge, Skills, and Abilities
- Ability to communicate effectively with various groups and individuals.
- Ability to plan projects and see both big picture and detailed aspects.
- Skills in budgeting and financial strategy.
- Skilled at public speaking and presenting to large groups.
- Advanced proficiency in Excel and PowerPoint.
Minimum Qualifications
Bachelor's degree or equivalent advanced learning attained through professional level experience required. Three (3) years of relevant work experience, or equivalent combination of education and work experience.
Preferred Qualifications
Higher education experience. Experience with budgets, purchasing, and financial software. Experience with planning and running recruitment programs and functions.
