Coordinator, Foundation Operations
Job Summary
Reporting to the Executive Director of the Foundation, the Coordinator, Foundation Operations performs a variety of functions that support the overall success of the organization, including board relations, fundraising technology, donor relations, and named scholarship administration.
The Coordinator, Foundation Operations is a critical member of the Foundation team, whose work is driven according to the direction set forth in the strategic plan.
Primary Duties and Responsibilities
Board/Foundation
- Serves as a point of contact for the Board and Foundation office; facilitates communication between Board and staff; ensures timely dissemination of important information throughout the organization
- Schedules Board and committee meetings, prepares and distributes agendas and meeting materials, takes accurate minutes to record decisions
- Prepares, distributes and maintains accurate and up-to-date reports, calendars and records, including Board meeting minutes, membership lists, budget/finance data, and Board/Foundation files
- Assists with the orientation of new Board members, providing them with necessary information and resources
- Provides high-level customer service and office support to Board and Foundation operations
Fundraising
- Provides accurate and timely donor, constituent, prospect, and alumni database management, including export and import reports and database audits
- Creates, prepares, and sends donor gift acknowledgment letters, donor reports, and correspondence
- Coordinates logistics for donor meetings, events, and outreach initiatives, including catering, invitations, and follow-up communications
- Assists with social media, the Foundation website, and the future online alumni association site
Donor Engagement
- Assists in the execution of TCC Foundation’s signature events
- Supports the Foundation role in complex events, including budgeting, registration, coordination, and implementation
- Supports the distribution of Student Profiles, the annual Impact Report, and additional promotional materials to donors and constituent groups; ensures broader reach via social media and the TCC Foundation website
Named Scholarships
- Prepares scholarship application processes for students and coordinates application review and scoring
- Facilitates and oversees scholarship selection committees and committee responsibilities, ensuring compliance, eligibility, and policy requirements are maintained
- Ensures that awarded scholarships are fully disbursed in accordance with donors’ intent
- Serves as the primary point of contact for donors
- Maintains TCCF scholarship software and application systems, including archiving data from these systems
Required Minimum Qualifications
- Associate's degree
- Two (2) years’ working experience in a leadership role; or an equivalent combination of education and experience
- Two to five years of experience in nonprofit administration, foundation operations, donor services, scholarship administration, development support, or related fields
- Experience in a college foundation, higher education setting, or public-sector nonprofit environment
- Valid driver’s license with an acceptable driving history and reliable transportation
Preferred Qualifications
- At least one (1) year’s working experience with Blackbaud Raiser’s Edge NXT
