Coordinator, Housing Operations and Logistics

Job Description Summary:

Under direction, manages the administration of work order requests from housing residents; liaison with Facilities Management Services to resolve maintenance work orders requested by residents; responsible for coordinating scheduled cleaning with Housekeeping, responsible for housing key management and process development; and analyze data related to key areas of responsibility to strategize and improve processes.

Preferred Qualifications:

Able to use PC Computer, MS Office, Word, PowerPoint, Excel, HR Application, Microsoft Outlook, Banner GUI Internet, StarRez Housing database, PeopleAdmin, WordPress, Fax, and copy Machines.

Specific Duties:

Duty: Management of Work Order Process - Management and coordination of Housing work order system to ensure appropriate, efficient, and timely response, referrals and resolution of issues. This includes developing, reviewing, and updating maintenance response referral and response procedures, protocols and manuals; supervision and training of student staff who are reviewing and imputing work orders to Help Desk; Liasoning with internal partners Facilities Management Services, Housekeeping, Help Desk, OIT) and external vendors spectrum, WASH, etc.); Analyzing work orders for trends and patterns so as to optimize service and resolve issues in timely manner.
Percentage of Time: 40%

Duty: Key Management – Review, update and implement, system to account for all housing resident rooms and building keys, including keeping an accurate record of all keys in StarRez database. This includes management and troubleshooting of the Symmetry and E-Plex electronic key systems; developing, reviewing and updating key management process and procedures; training all Housing staff in key management process and system; Liaison with campus Safety and Facilities for key preplacement and management of hard and electronic keys.
Percentage of Time: 30%

Duty: Room condition Inventory process – Ensure all room condition inventories FR Is) are impacted by housing staff for every room prior to residents move in and after move out; reviewing information received through R Is, work orders and general resident immunization to ensure work orders are placed as needed and appropriately to Facilities Management Services.
Percentage of Time: 13%

Duty: Data Analysis and Efficiency – Tracks, complies, and analyses data related to key areas of responsibility so as to develop strategies and programs, processes or policies to improve efficiency and effectiveness. This includes but not limited to work orders request submitted by residents; lost key requests
Percentage of Time: 10%

Duty: Service to the Division and University: Provide service to Division of Student Affairs, campus committees and other projects as assigned. Support professional associations through committee work, conference presentations, and active participation.
Percentage of Time: 3%

Duty: Serve as a campus Security Authority for the La Verne campus
Percentage of Time: 2%

Duty: Other duties as assigned by the Dean of Students and Director of Housing
Percentage of Time: 2%

Salary Range

Maximum: $23.25
Minimum: $21.86
