Job Description

PURPOSE AND SCOPE:

The Coordinator I, Honors and International Education Travel facilitates daily operations within Honors and International Education. Coordinates travel logistics, provides support for surrounding programs and departments. General functions are focused on travel logistics coordination and support for departmental, compliance, and administrative processes. The role includes some cross-functional training with team personnel. Some travel is required.

ESSENTIAL JOB FUNCTIONS:

  1. Coordinates a high volume of complex and detailed travel logistics for HIE Business Services Coordinator, AVC, IP Director, and HIE system team. Supports Business Services Coordinator with travel-related documentation and processes
  2. Facilitate daily operations of assigned area. Maintain records. Maintain current knowledge base of assigned area and acts as a point of contact for internal and external customers.
  3. Creates and submits a variety of reports, assisting with research and analysis. May make presentations at various levels both internally and externally
  4. Manages document control and reporting processes, including support for check-and-balance compliance processes
  5. Coordinates various departmental calendars and schedules. Assists with planning, schedules and coordinates various meetings/seminars/events, which may include site selection and preparation, prepares marketing and training materials, and general support
  6. Works with faculty and staff to promote program activities and materials, creates and implements feedback system for faculty to communicate program results
  7. Monitors and maintains website content related to travel, events, and departmental operations
  8. Serves as department liaison with internal and external stakeholders, facilitating communication and coordination
  9. Provides basic budget support processes for assigned area
  10. Maintains working knowledge of D2L and other platforms as needed. Maintains working knowledge of related institutional policies and procedures
  11. Takes part in special projects as needed
  12. Responsible for other reasonable related duties as assigned

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Strong attention to accuracy and detail
  • Excellent knowledge of general office and software applications
  • Ability to prepare and analyze reports
  • Possesses good organizational skills
  • Ability to prioritize duties
  • High level of customer service

PHYSICAL ABILITIES:

The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items, such as papers, books, or small parts; or driving an automobile. No special physical demands are required to perform the work.

WORK SCHEDULE & CONDITIONS:

  • Equipment used includes PC workstation running on a LAN in a Microsoft Windows environment, calculator, phone, and other general office equipment
  • Interface with internal and external contacts as needed to carry out the functions of the position
  • Work is performed in a climate-controlled office with minimal exposure to safety hazard

REQUIRED QUALIFICATIONS:

  • Associate degree or higher and at least 1 year of experience, or an equivalent combination of education and experience

PREFERRED QUALIFICATIONS:

  • Experience working in an office environment performing administrative or business functions

Salary

Hiring salary range is $38,761 - $44,575
