Job Description
PURPOSE AND SCOPE:
The Coordinator I, Library Technical Services is responsible for managing and enhancing the daily operations within the Library Technical Services department. This role combines the hands-on processing and maintenance of interlibrary loan materials with administrative and coordination functions. The position ensures efficient material processing, compliance with copyright and vendor requirements, and smooth departmental operations including resource management and administrative support.
ESSENTIAL JOB FUNCTIONS:
- Coordinates daily operations of the Library Technical Services department, to include department calendars, meetings, training sessions and special events, including site selection and preparation
- Acts as main point of contact for Interlibrary Loans; Processes and maintains interlibrary loan requests submitted by faculty, staff, students, and external academic or corporate institutions
- Performs physical processing to prepare books and non-print materials for circulation or shipment to other campus libraries
- Maintains files, logs, and statistics for interlibrary loan services and courier activities; Ensures compliance with copyright regulations and vendor software updates
- Receives incoming mail and courier shipments and distribute them appropriately within the library network
- Organizes and maintains departmental documentation, manuals, and training materials
- Monitors and tracks office supplies, equipment, and departmental purchasing/requisitions; Assists with budget tracking, and preparation of periodic reports
- Prepares and analyzes reports and makes presentations as needed
- Monitors LTS ticketing system
- May participate in special projects, as needed
- Performs other related duties, as needed
KNOWLEDGE, SKILLS, AND ABILITIES:
- Working knowledge of library management systems (e.g., Symphony) and the OCLC World Share ILL system
- Ability to quickly adapt to changes in vendor software and technology updates
- Strong attention to detail and ability to prioritize multiple tasks and projects simultaneously
- Proficiency in general office software and report preparation
- Excellent written and oral communication skills with a high level of customer service
PHYSICAL ABILITIES:
The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items, such as papers, books, or small parts; or driving an automobile. No special physical demands are required to perform the work.
WORK SCHEDULE & CONDITIONS:
- Equipment used includes, PC workstation running on a LAN in a Microsoft Windows environment, calculator, phone, and other general office equipment
- Interface with internal and external contacts as needed to carry out the functions of the position
- Work is performed in a climate-controlled office with minimal exposure to safety hazards
REQUIRED QUALIFICATIONS:
- Associate degree or higher and at least 1 year of experience, or an equivalent combination of education and experience
PREFERRED QUALIFICATIONS:
- Bachelor's degree
- Experience working in Library Technical Services
- Experience working with the Symphony Library Management System or similar platforms
