This position provides senior-level executive and administrative support to the Executive Director in advancing the operations, governance, and strategic priorities of the PGCC Foundation. The role serves as the primary point of coordination for Foundation Board and committee activities, executive communications, donor engagement support, and compliance functions. Acting as a trusted partner to the Executive Director, this position ensures continuity, confidentiality, and effective execution across executive workflows and advancement priorities.
Minimum Qualifications
EDUCATION AND EXPERIENCE
- Associate’s degree (or higher) required.
- Minimum of four (4) years of progressively responsible administrative or executive support experience, including experience supporting senior leadership, boards, or advancement/foundation operations required.
- Demonstrated experience in one or more of the following strongly preferred: Foundation or nonprofit governance support; donor relations or advancement administration; compliance filings and board documentation; budget monitoring or procurement coordination.
- Bachelor’s degree in Business Administration, Communications, Public Administration, or related field strongly preferred.
Criteria
ESSENTIAL DUTIES
Foundation
- Serve as the central point of coordination for the Executive Director’s Foundation responsibilities, ensuring continuity of executive workflows, governance calendars, and priorities.
- Coordinate executive-level communications and activities for the Executive Director, facilitating effective engagement with a 29-member Foundation Board (maximum 35), senior leadership, donors, and internal stakeholders in support of governance and advancement priorities.
- Independently prepare and coordinate executive-level reports, presentations, and briefing materials for Foundation Board and committee meetings to support informed governance decision-making.
- Establish working relationships with external stakeholders to schedule and coordinate details for meetings and other activities of the Prince George’s Community College Foundation, Inc. of a varied and complex nature.
- Coordinate and prioritize executive-level donor and prospect engagements for the Executive Director, exercising discretion due to donor sensitivity and institutional reputation.
- Coordinate end-to-end Foundation Board and committee meeting processes, including agendas, documentation, official records, and follow-up actions to ensure continuity and compliance.
- Prepare, review, and maintain official Board and committee records in accordance with bylaws, governance standards, and audit requirements.
- Maintain executive-level governance and donor records for the Foundation, ensuring confidentiality, accuracy, and compliance across systems.
- Monitor and coordinate Foundation-related financial documentation and transactions, identifying discrepancies or compliance concerns and elevating issues to the Executive Director.
- Coordinate Foundation compliance activities, including required state and federal filings, renewals, and documentation to ensure continued regulatory standing.
- Develop, maintain, and recommend updates to executive-level Foundation procedures to support efficiency and consistency.
- Plans/assist in planning and executing signature event and other cultivation events throughout the year.
Office of Institutional Advancement
- Manage and prioritize the Executive Director’s calendar and commitments, exercising delegated authority to resolve scheduling conflicts related to Executive Director-level activities.
- Serve as a senior executive support partner to the Executive Director, anticipating advancement and Foundation operational needs with minimal supervision.
- Draft, edit, and coordinate executive-level correspondence, reports, and briefing materials supporting advancement leadership and executive decision-making.
- Coordinate executive-level and advancement-related events on behalf of the Executive Director, ensuring alignment with established procedures and assigned roles.
- Prepare executive meeting agendas, presentations, briefing materials, and post-meeting action tracking to support strategic outcomes.
- Maintain official executive-level meeting records and action logs, ensuring timely follow-up on advancement and Foundation priorities.
- Coordinate and review advancement-related procurement and financial documentation, ensuring accuracy and appropriate use of jointly funded resources.
- Monitor and analyze advancement expenditures, preparing executive summaries in support of fiscal accountability across a 9-person advancement team.
- Coordinate administrative workflows related to Executive Director-level activities and communicate priorities to clerical staff and student employees in accordance with established procedures and supervisory direction.
- Coordinate executive and advancement staff travel and reimbursement processes, ensuring compliance and timeliness.
- Maintain executive-level records and shared systems supporting advancement and Foundation operations, ensuring audit readiness.
- Perform other duties as assigned.
- Demonstrated organizational skills to coordinate executive-level meetings, board operations, donor engagements, and advancement events requiring high attention to detail and professionalism.
- Ability to review financial documentation, procurement processes, and expenditure reporting with attention to compliance and institutional risk.
- Strong aptitude for maintaining governance and donor record systems, ensuring audit readiness, compliance, and accuracy across shared platforms and databases.
- Proficiency in Microsoft Office® Suite and related executive support technologies, including advanced use of Outlook calendaring, Excel financial tracking, and PowerPoint presentation development.
- Ability to manage complex administrative and operational workflows with minimal supervision, anticipating executive and institutional advancement needs proactively.
- Proven ability to draft, edit, and synthesize executive-level correspondence, reports, briefing materials, and presentations supporting advancement and Foundation leadership decision-making.
- Strong interpersonal and diplomacy skills to effectively interact with Foundation Board members, senior leadership, donors, external stakeholders, and campus partners in high-impact situations.
- Knowledge of board governance practices including preparation of agendas, official records, compliance documentation, and follow-up actions to ensure continuity and accountability.
- Ability to exercise independent judgment and delegated authority in coordinating executive-level priorities, resolving scheduling conflicts, and managing competing institutional demands.
- Demonstrated ability to safeguard highly confidential and sensitive executive, donor, and governance information with discretion and professionalism.
Job Requirements
PHYSICAL REQUIREMENTS Must have the use of sensory skills in order to effectively communicate and interact with other employees and the public through the use of the telephone and personal contact as normally defined by the ability to see, read, talk, hear, handle or feel objects and controls. Physical capability to effectively use and operate various items of office related equipment, such as, but not limited to a, personal computer, calculator, copier, and fax machine. Limited climbing, stooping, kneeling, crouching, reaching, standing, walking, pushing, pulling, lifting, grasping, and repetitive motions. SPECIAL REQUIREMENTS- Must be willing and able to work alternative hours (early mornings, evenings and weekends)
- Ability to communicate effectively in spoken and written standard English.
- As required by the 1986 Immigration Act, be prepared to present acceptable documentation showing your identity and that you are a U.S. citizen or an alien who is authorized to work.
