Job Summary
This is a twelve (12) month Residential Life position. Under the responsibility of the Director of Residential Life, the Coordinator of Housing Operations manages the housing systems and operational functions that support a vibrant and safe campus community of approximately 800 students. The Coordinator ensures that housing processes, assignments, billing, and facilities coordination contribute to a positive student experience and a strong sense of community within Residential Life.
The Coordinator of Housing Operations supervises student front desk staff and summer interns, manages housing and room assignment systems, coordinates summer housing and conference operations, and oversees billing and occupancy reporting. This position is designed to support the mission of Residential Life through efficient operations that help create a welcoming and student-centered living environment.
Required Qualifications
- A Bachelor’s Degree in social sciences, business management, or related field; AND two (2) years of professional academic, student development, program planning, and management experience; OR an equivalent combination of education, training, and experience.
- One to two (1-2) years of related experience in housing operations, residence life, summer conferencing, or student programming.
- Ability to foster a healthy and safe living-learning environment through operational excellence.
- Ability to work evenings and weekends, when necessary.
- Ability to take initiative and work independently to carry out multiple responsibilities.
- Strong communication, organizational, and customer service skills.
Preferred Qualifications
- A Master’s degree in Student Affairs, Higher Education, Business Administration, or a related area.
- Experience with housing management software (e.g., The Housing Director, RMS, Mercury, or StarRez).
Key Responsibilities: Three Areas of Responsibility
1. Community-Building through Operations
- Approach housing operations as a central contributor to community development and student success.
- Ensure that processes such as assignments, billing, and facilities coordination are carried out with a student-centered perspective that values equity, inclusion, and care.
- Collaborate with Residential Life staff to connect operational efficiency with student well-being, retention, and satisfaction.
- Model a commitment to accessibility, fairness, and responsiveness in all housing-related decisions.
2. Housing Operations and Systems
- Manage housing assignments, including scheduling, room changes, and occupancy management for students and summer guests.
- Serve as department expert on assigned housing software and train colleagues in usage and data management.
- Ensure data integrity in occupancy, billing, and housing records.
- Record and report on door access functions, coordinating with IT and Facilities as needed.
- Oversee housing processes such as room selection, move-in, and move-out.
- Coordinate and manage housing billing processes for students and summer guests, including reconciliation with Finance.
- Prepare occupancy, income, and expense reports for Residential Life leadership.
3. Administrative and Facilities Coordination
- Supervise, train, and evaluate student front desk staff and summer interns.
- Develop staff through effective training, accountability, and coaching to support operational excellence and community engagement.
- Collaborate with Facilities to coordinate room cleaning, setup, and maintenance for student and guest housing.
- Oversee summer housing operations, including assignments, billing, and coordination of guest services.
- Manage transitions of housing spaces between academic year and summer operations.
- Manage daily office operations and departmental workflows.
- Coordinate department purchasing, contracts, and billing in collaboration with Finance.
- Maintain confidentiality in handling student, staff, and guest records.
- Participate in Residential Life staff meetings, departmental initiatives, and campus-wide committees.
- Assist with large-scale events such as Orientation, Admissions Open House, and campus traditions.
