Major Duties
Under general supervision, the Department Coordinator independently coordinates administrative and logistical support across diverse university programs and events, maintains essential operational records, and provides primary liaison services during events. This position demands proactive communication, the ability to manage multiple concurrent tasks, and the coordination of student assistants and volunteers. Duties also encompass comprehensive clerical and administrative support, detailed management of student payroll activities, and overseeing procurement and travel logistics. The coordinator ensures that all operational procedures and practices are effectively maintained, troubleshoots administrative issues, and provides exceptional customer service to students, staff, faculty, and external stakeholders.
- Coordinating and/or assisting with general program development for New Student & Family Programs, Commencement/Honors Convocation ceremonies, and other Signature Events.
- Independently handle multiple work unit priorities and projects.
- Coordinates clerical and administrative support functions of the program office.
- Responsible for student assistant recruitment, including posting of job openings; conducting interviews, recommending candidates, training, scheduling, leading, monitoring, overseeing, and providing input for evaluations.
- Coordinates large-scale/complicated travel and registration arrangements for Director/Senior Coordinator and other professional/student staff as needed for programs, retreats, conferences, professional organization memberships, etc., and is the initial travel approver.
- Performs other duties as assigned.
Qualifications
Equivalent to five (5) years of full-time, progressively responsible administrative or technical office management experience in an administrative capacity, exercising independent judgment and leading the work of others. Equivalent to full-time college or university education/vocational school training in a business or job-related field may be substituted for up to two (2) years of the required experience. Advanced training in Microsoft Excel is highly desirable.
Knowledge, Skills, & Abilities
Strong interpersonal and communication skills to effectively build and sustain relationships across all organizational levels and external vendors, facilitating clear communication and efficient coordination for diverse campus events. Exceptional organizational and analytical abilities, demonstrating proficiency in independently managing multiple priorities, analyzing detailed student data, coordinating complex logistics, and accurately handling administrative tasks related to major university programs and ceremonies. Proficient in administrative and clerical skills to effectively coordinate office support functions, maintain detailed operational records, and efficiently manage departmental resources. Ability to troubleshoot administrative issues proactively, ensure excellent customer service, and maintain accurate, updated information to support students, staff, faculty, administrators, and community members involved with the program.
Pay, Benefits, & Work Schedule
The university offers an excellent benefits package, including but not limited to: medical, dental, vision, retirement & savings, tuition waiver, and more. Classification: Administrative Support Coordinator / 1035 / 2. The anticipated HIRING RANGE: $4058 - $4517 per month, dependent upon qualifications and experience. The salary range for this classification is: $4058 - $6653 per month. HOURS: Full Time; 40 hours per week; Monday through Friday. This is a Regular position with a one-year probationary period. The individual hired for this role will physically work on-campus in Northridge. This is not a telecommute position.
