Editorial Assistant
Work Arrangement: Hybrid (minimum 4 days onsite; up to 1 day work from home)
JOB PURPOSE:
Stanford University Press (SUP) seeks an Editorial Assistant to support and work in collaboration with two Acquisitions Editors on publishing programs in anthropology, sociology, law, and Asian studies. This role is responsible for essential tasks within the manuscript development process, including coordinating peer review, overseeing permissions, and preparing final manuscripts for production. The successful candidate will have strong organizational skills, demonstrated attention to detail, and be intellectually engaged and curious, with an excitement for books and publishing.
This is a junior-level position, designed as a first step into scholarly acquisitions. Interested candidates should submit a cover letter explaining your interest in working in publishing at SUP and a resume.
Founded in 1892, Stanford University Press publishes 140 books a year across the humanities, social sciences, and business. This position will work in SUP’s offices located in Redwood City, CA.
CORE DUTIES*:
- Assist editors/authors in preparing manuscripts and transmitting manuscripts into production
- Coordinate peer review of proposals and manuscripts
- Assist editors in tracking titles under contract, update schedules based on communication with authors/editors
- Oversee the permissions process
- Create, distribute, and track the return of publication agreements
- Work with editors to compile data and prepare documents for editorial board meetings
- Perform office duties including, but not limited to, handling incoming and outgoing mail; entering data into basic tables, reports, or spreadsheets; making copies; and monitoring and ordering of office supplies
- Arrange meetings and assist with routine conferences, including scheduling rooms, managing equipment, and assembling materials
- Create and maintain files and filing systems
- Liaise with marketing, production, and finance departments
- *Other duties may also be assigned.
MINIMUM REQUIREMENTS:
Education and Experience:
- High School Diploma or equivalent.
Knowledge, Skills, and Abilities:
- Basic computer skills and demonstrated experience with office software and email applications
- Ability to follow through and complete assigned tasks
- Strong organizational skills and attention to detail
- Strong verbal and written communication skills
- Excellent customer service and interpersonal skills
Other Relevant Knowledge, Skills, and Abilities May Include:
- Ability to manage multiple tasks simultaneously
- Ability to prioritize and meet deadlines in a busy work environment
- Ability to work cooperatively and maintain productive work relationships
- Academically engaged and curious, regardless of main field of study
- Publishing experience or fundamental understanding of the book acquisitions and publishing process
PHYSICAL REQUIREMENTS*:
- Constantly perform desk-based computer tasks. Frequently sitting.
- Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds.
- Rarely twist/bend/stoop/squat, kneel/crawl.

The expected pay range for this position is $24.93 to $26.50 per hour.
Stanford University provides pay ranges representing its good faith estimate of what the university reasonably expects to pay for a position. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and external market pay for comparable jobs.
