Organizational Unit Overview:
The Office of Global Affairs in the Division of Academic Affairs was established to coordinate all student community, faculty, and curricula-related international activities. A comprehensive office of Global Affairs is necessary to secure East Carolina Universitys position as a contemporary university addressing the concerns of a globally interdependent society.
East Carolinas commitment to promoting student success, public service and regional transformation through global awareness is expressed in the ECU Strategic Plan. To ensure a focused and effective program this comprehensive office draws together elements of international study, virtual exchange, and international student and scholar services. Only with the closely coordinated and highly visible Office of Global Affairs will East Carolina University be in the position to advance and enhance its international presence through academia, exchange, and economic development.
Job Duties:
This position serves a dual role in the Office of Global Affairs, Education Abroad unit by advising students on international study opportunities and coordinating daily operations of the universitys Passport Acceptance Facility. The advisor supports student success by guiding them through the study abroad process from initial exploration to program selection, application and enrollment. The position also ensures the smooth and compliant operation of ECUs passport facility, which serves both the campus and surrounding community.
Study Abroad Advising (70%)
- Provide comprehensive advising to help students select programs that align with their academic goals, career interests, and personal needs. Offer guidance on program options, application requirements, deadlines, and financial planning, while also preparing students for the intercultural challenges and opportunities of studying abroad.
- Meet individually with students to provide personalized advising tailored to their major, academic progress, and desired location of study. Facilitate group advising and engagement sessions that prepare students for departure, covering topics such as health and safety, cultural adjustment, and academic expectations, as well as re-entry workshops that support students transition back to campus life.
- Guide students on where to find information about how credits earned abroad may transfer to their degree plan, directing them to academic advisors for final approval. Provide general guidance on how financial aid packages may apply to study abroad programs and refer students to the Office of Financial Aid for further assistance. Counsel students on scholarship opportunities.
- Participate in outreach activities designed to raise awareness of study abroad opportunities among the student body, such as fairs, class visits, presentations, and tabling events. Work collaboratively with faculty and campus partners to integrate study abroad into academic programs, increase visibility of opportunities, and encourage participation across the student population.
Passport Acceptance & Facility Management (25%)
- Oversee the Universitys Passport Facility, serving as the primary coordinator and passport agent for the campus passport acceptance program.
- Ensure that the passport program remains compliant with U.S. Department of State regulations and institutional policies.
- Manage the training and certification process for all passport acceptance agents in collaboration with the U.S. Department of State. This includes scheduling regular refresher trainings and ensuring all agents certifications are up to date.
- Respond to all public inquiries related to passport processing, including application requirements, appointment scheduling, fees, and general information. Monitor and maintain the online passport appointment scheduling system to ensure it is active and user-friendly.
- Coordinate and promote special public passport events open to the campus and local community.
- Act as the primary liaison with external passport authorities and internal university stakeholders to resolve issues and implement program updates as needed.
Other Duties as Assigned (5%)
Perform other duties as assigned by the Assistant Director for Student Engagement and Global Partnership or Assistant Vice Chancellor for Global Affairs.
This position is contingent upon available funding.
Minimum Education/Experience:
- Masters degree; or will accept in substitution a Bachelors degree and two years of relevant experience.
- Experience working in higher education, international education, or student services.
- Excellent communication skills.
- Ability to obtain and maintain U.S. Passport Acceptance Agent certification (U.S. citizenship required).
License or Certification Required by Statute or Regulation:
N/A
Preferred Experience, Skills, Training/Education:
- Masters degree in Higher Education, International Education, or related field.
- Experience studying, living, or working abroad.
- Familiarity with study abroad software (e.g., Terra Dotta, Via TRM) and student information systems.
- Customer service or front-line advising experience
- Strong organizational skills, attention to detail, and ability to manage multiple priorities.
