Employment Services Coordinator
This position supports the fulfillment of the College’s mission, values, and strategic goals by providing specialized support in administering the College’s recruitment and hiring processes for all full-time, part-time, and student positions. Serves as the system administrator for the College’s Applicant Tracking System (ATS) and provides technical assistance to job applicants and administrative users. Organizes and facilitates New Employee Orientations, and assists in administering other HR functions including classification and compensation, and training.
Required Qualifications: Associates Degree with coursework in Human Resources, Business Administration, Communication, Behavioral Science or a related field, plus a minimum of two years of experience working in a specialized human resources area such as employment or recruitment; OR an equivalent combination of education, training, and experience that would enable the full performance of all aspects of the job.
Knowledge, Skills, and Abilities: Requires high level of technical and analytical skills. Knowledge of office methods and practices, including filing systems, strong record-keeping. Requires the ability to administer an online system such as the applicant tracking system, including system updates and testing. Must have good word processing, database, and spreadsheet skills. Must have good writing and math skills. Requires the ability to communicate technical information to non-technical users. Must be able to deal effectively with a wide variety of personalities and situations requiring diplomacy, friendliness, poise, and sensitivity, in person and over the phone. Requires the ability to train employees at all levels within the College in the use of the ATS. Must be able to maintain confidentiality. Requires the ability to interpret, apply, and explain pertinent laws, regulations, and policies relating to employment and recruitment. Must be able to work effectively under pressure, analyze situations accurately, develop an effective course of action, and organize and prioritize a wide range of duties to meet required schedules and timelines. Must be able to work respectfully with people from all backgrounds, cultures, ethnicities, and perspectives with diplomacy, friendliness, poise, and confidence. Must be able to work effectively with situations requiring clarity, empathy, and discretion.
Essential Duties:
- RECRUITMENT: 55% Serve as the system administrator for the College’s Applicant Tracking System (ATS) reviewing daily operations of the system, and making updates when necessary. Work with the system vendor to design, test, and implement system updates, processing changes, job postings and application form improvements, and troubleshooting technical difficulties. Coordinate the implementation of additional PeopleAdmin products, as needed. Track and provide direct support to hiring managers and search committees throughout the entire recruitment process. Provide information on screening procedures, reference checks, etc. Assist with developing interview questions and screening/rating tools. Responsible for posting all positions on the ATS timely and accurately. Review employment application materials to determine if they meet minimum qualifications. Provide electronic access of qualified applications to hiring supervisors and guest users within established timelines. Update workflow dispositions of applications. Maintain partnership with current advertising entities. Make recommendations for additional external advertising opportunities, as needed. Ensure all recruitment advertising charges are correct and billed to the appropriate department. Responsible for retaining recruitment records as established by Oregon Law; responsible for purging recruitment records after the required retention period has been met. Responsible for responding to recruitment-related public records requests within established timelines. Provide statistical reports on applicant data on a monthly basis. Provide assistance with the ATS for job applicants through in-person, telephone and email contacts, including responding to system access problems, error messages, and document attachment issues. Work with system vendors for troubleshooting applicant issues as needed. Coordinates external engagement efforts through campus outreach, social media, tabling at job/career fairs, and by building and maintaining strong partnerships with local high schools. Supervise Part-Time Recruitment Assistant.
- CLASSIFICATION & COMPENSATION: 35% Review and approve all recruitment position descriptions, ensuring internal alignment and consistency with job titles, position duties, compensation, and working conditions. Reviews and assesses changes in IPEDS or CUPA comparative data and makes recommended changes to Associate Director. Prepare salary placements for management, confidential, and faculty positions; prepare official offer letters for all contracted new hires. May assist with the processing of position reclassifications, desk audits, or other assigned special projects within the area of Classification & Compensation.
- TRAINING: 5% Schedules and facilitates New Employee Orientation. In collaboration with the Office of Institutional Equity, Diversity and Inclusion, may assist in the design and delivery of Search Advocate (SA) training for the College. Provides initial and subsequent training, fields questions regarding Search Advocacy, and assists in maintaining the list of trained Search Advocates.
- OTHER: 5% Perform other related duties as assigned.
