Endowment and Gift Services Specialist
JOB DETAILS
SUMMARY
This is a professional position responsible for overseeing the management of the lifecycle of endowments and gift procedures and methods, state and federal laws/regulations, and university/system policy. Responsible for reporting contributions received, and monitoring and maintaining compliance with the Internal Revenue Service (IRS) gifts and contributions standards. Serves as primary liaison to other departments in the division for assistance with endowment agreements, reporting, and compliance. Ensures accurate accounting, compliance, and stewardship of individual endowment funds. Works under general supervision, with limited latitude for independent judgment. Reports to Director of Advancement Services.
QUALIFICATIONS
Bachelor’s degree in accounting, business or a related field is required. Related experience may be substituted for required education on a basis set forth by the Department of Human Resources.
Two years of related experience is required. Experience with higher education or foundation gift and grant accounting is preferred. Experience with accounting or donor databases is preferred. Candidates who do not meet the experience requirement but have a Master’s degree in a related field may also be considered.
ESSENTIAL JOB FUNCTIONS
- Coordinates gift agreements and ensures compliance with donor agreements, university policy and The University of Texas System policy.
- Assists university stewardship, gift processing, and endowment management within the department.
- Verifies accuracy of accounting data and entries between software databases.
- Creates reports regarding the disbursement of private funds from individuals, organizations, and others for university, college, and departmental discretionary accounts.
- Maintains endowment files, including but not limited to filing, updating, and securing records.
- Assists in the maintenance of the advancement services constituent database.
- Prepares and posts journal entries, interdepartmental transfer requests, new/modify account requests, and budget changes.
- Develops and maintains financial records.
- Prepares special reports; compiles and analyzes data as requested.
- Assists account managers regarding endowments.
- Prepares requisitions, invoices, and contracts.
- Assists departmental leadership with the university endowment compliance program.
- Serves as a backup to support gift processing tasks and duties.
- May assist with compiling reports related to university endowment activity.
- May assist with accounting duties for other entities associated with University Advancement.
NON-ESSENTIAL JOB FUNCTIONS
- May receive and/or supervise the receipt of donations from students and others for departmentally sponsored activities.
- Attends and assists with relevant departmental and divisional functions.
- Performs other related duties as assigned.
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
The individual must possess the following knowledge, skills, and abilities or be able to explain and demonstrate that the individual can perform the essential functions of the job, with or without reasonable accommodation.
- Knowledge of, or the ability to learn, university policies and procedures.
- Knowledge of generally accepted accounting procedures and methods, and ability to apply them to specific situations.
- Knowledge of IRS rules and regulations regarding charitable gifts.
- Skill in completing assignments accurately and with attention to detail.
- Skill in the use of computer applications including spreadsheet, database, and word processing.
- Ability to learn office and university-specific software.
- Ability to communicate effectively in both written and oral form.
- Ability to compile, organize, interpret, and communicate accounting data and results in a concise format.
- Ability to maintain effective interpersonal relationships.
- Ability to set priorities and complete assignments on time.
- Ability to prepare and maintain records, files, and reports.
