The Enrollment Registrar Specialist supports the daily operations of the Registrar’s Office by managing the intake and processing of registrar-related forms and student record requests. The position provides high-level customer service to students, faculty, and staff, addressing inquiries related to registration, academic records, and college policies through email, phone, and in-person assistance. Using systems such as CUNYfirst, DegreeWorks, FACTS, Navigate, Parchment, and CourseDog, the Enrollment Registrar Specialist ensures accurate information is relayed to all college constituents.

The role also assists with office fiscal functions by processing purchasing requests and preparing quarterly budget summaries for the Senior Registrar. Additional responsibilities include managing the office’s shared calendar, coordinating meetings and training sessions, and representing the Registrar’s Office at campus events. The Enrollment Registrar Specialist supports the Senior Registrar with special assignments and performs related duties as needed.

  • Oversee the intake and processing of registrar related forms and student requests.
  • Respond to inquiries via email, phone, and in-person service, ensuring professional and student-centered communication.
  • Provide high-level support to students, faculty, and staff regarding registration, records, academic policies, and key systems.
  • Utilize systems including CUNYfirst, DegreeWorks, FACTS, Navigate, Parchment, and CourseDog to support Registrar operations.
  • Process purchasing requests such as office supplies, technology equipment, and software renewals, following CUNY procurement procedures.
  • Prepare budget reports, travel authorizations/expenses, and summaries for the Senior Registrar to include quarterly updates and projections.
  • Manage the Registrar Office shared calendar, scheduling staff meetings, and training sessions.
  • Represent the office at campus student events, including orientations, accepted student days, and other enrollment-related activities.
  • Support the Senior Registrar in all other special assignments or duties as needed.

QUALIFICATIONS

Bachelor's Degree and four years' relevant experience required.

CUNY TITLE OVERVIEW

Administers College registration operations under management direction.

  • Coordinates registration services such as grade collection entries and changes, publication of semester course offerings, final examination schedules, classroom scheduling and requests for student information
  • Promotes policies and procedures in compliance with local, state and federal rules and regulations; advises College personnel regarding the development and implementation of responses to regulatory changes
  • Oversees the conformity of record release procedures to management policies and legal requirements, including the Family Rights and Privacy Act (FERPA) and other applicable laws and regulations governing the confidentiality of student records
  • Creates and reviews student communications from the Registrar's Office; ensures transcript and Degree verification requests are handled in a timely manner
  • Recommends and implements improvements to office operations; assists with strategic planning
  • Prepares reports and analyses on registration activities
  • May train faculty and staff on retention techniques, record-keeping protocol and/or registration systems
  • May supervise office operations and/or department budget
  • Performs related duties as assigned.

COMPENSATION AND BENEFITS

Salary commensurate with education and experience. $61,831 - $68,364
