General Description
This position is responsible for answering all inquiries regarding availability of all spaces managed by the Cultural Programs department, the coordination of theater's front-of-house activities (i.e., setups, ushers, concessions, merchandise, and custodial), providing an initial estimate to clients, and the reservation of event spaces and resource allocation.

Minimum Education/Experience
Minimum (2) years' of work experience in coordinating and managing events, projects, volunteer services, and working as a theater front-of-house manager.
Required Knowledge, Skills & Abilities
Knowledge:
- Supervisory principles and
- Methods used to recruit, organize, train, utilize, motivate, and recognize volunteers and organizations;
- Principles and practices of volunteer management;
- Microsoft Office (or similar software);
- Web-based volunteer recruiting, scheduling, and management systems;
- Event planning and management;
- Administrative procedures; and
- Front-of-house theater management.
Skills:
- Communicating, both verbally and in writing, using tact and diplomacy;
- Publicly speaking to groups;
- Managing multiple projects; and
- Organizing and coordinating the work of others.
Abilities:
- Establish and maintain effective working relationships;
- Maintain records and statistics;
- Evaluate volunteer program quality, effectiveness, and make initiate appropriate changes;
- Supervise a staff of volunteers;

Physical Demands/Working Conditions
PHYSICAL/MENTAL DEMANDS AND WORKING CONDITIONS:
The work is light work which requires the person in this position to occasionally exert up to 20 pounds of force to grasp, lift, carry, push, pull, or otherwise move objects. Additionally, the following physical abilities are required:
This position requires that the person has near vision enough to read written communications.
This position requires that the person has speech and hearing enough to communicate in person and over the telephone.
Strength enough to lift, pull, push, or carry objects weighing up to 35 lbs., boxes of programs, stanchions, etc.
Work is performed in a relatively safe and secure work environment that may periodically have unpredictable requirements or demands.
Work is performed within a schedule of varied hours including evenings, weekends, and holidays.
Preferred Qualifications
Previous work experience at Visual and Performing Arts Center at in institution of higher ed.
Bilingual.
Required Training
Quarterly compliance training as assigned by institution

Job Duties (Duties Assignment Statement)
Oversee the coordination of volunteer usher activities including: (1) Recruitment and Placement, (2) Training and Supervision, (3) Scheduling, and (4) Record Keeping.
Manage the calendaring systems by making sure that all events are properly logged and all needed spaces have been put on hold. Create estimates, with guidance from the Director and the Production Manager, for clients based on received notes from clients.
Guarantee all documentation has been collected for activities taking place at the Visual & Performing Arts Center and the Bruce Owen Theater, including (but not limited to): contracts, deposit payments, insurance documentation.
Coordinate with OCCC departments to maintain cleaning, facility management, IT infrastructure, and catering as it relates to events and activities as well as general needs for the department, the Visual & Performing Arts Center, and the Bruce Owen Theater.

Participate in all applicable OCCC emergency, evacuation, shelter in place drills, and be prepared to take action and assist others in taking appropriate action should a health or safety emergency occur.
