The Office of the Vice Chancellor for Student Affairs is the chief administrative office for student services, student support, student development, and the quality of life and education outside the classroom. The office is responsible for policy development, long-range planning, budget, personnel, and coordination of the (14) departments which together comprise the Division of Student Affairs.

Brief Summary of Work for this Position:
The Executive Assistant serves as a senior administrative staff member of the Vice Chancellor's office and as the personal assistant to the Senior Associate Vice Chancellor/Dean with substantial delegated responsibility for managing complex administrative functions while also maintaining a respect for confidentiality. This position also provides support for all matters related to administration of the Vice Chancellor's office and the division, including the development of procedures for efficient workflow and the monitoring of office operations and procedures to ensure effectiveness. Experience with crisis management is essential. This position must interact with senior university administrators, faculty, staff, students, alumni and members of the general public. Independence and decision-making responsibility within university policies, procedures and guidelines are imperative. The Executive Assistant provides support for the Senior Associate Vice Chancellor/Dean of Students, peripheral support for the Vice Chancellor for Student Affairs (manages divisional HR functions), performs receptionist duties, and provides general office support (along with the executive assistant to the Vice Chancellor). Primary duties include managing access to and scheduling meetings for the SAVC/Dean; serving as liaison between administrator and subordinate units; interacting and communicating with faculty, staff, students, and the greater community; assisting with projects, filing and other tasks including general office support with phone and walk-in reception.
Minimum Education and Experience Requirements:
High school diploma or equivalency and three years of progressively responsible administrative/office management experience; or Associate's degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience ; or Bachelor's degree, preferably in business administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
Preferred Education, Knowledge, Skills & Experience:
- Demonstrate the ability to analyze and report data in various formats.
- Proficient in Microsoft Office suite (or comparable programs).
- Proficiency with technology and software.
- Ability to multitask in a high traffic environment effectively and accurately.
- Excellent organizational, written and communication skills.
- Strong customer service acumen.
- Experience with Banner (primarily Banner Student and Finance).
