Faculty Operations Administration Assistant

Are you an organised and proactive administrator who enjoys variety, teamwork, and supporting staff and students? We are seeking to appoint multiple Administration Assistants to join our Operations Team. This is a great opportunity to join a dynamic team supporting academic and School operations and play a key role in ensuring smooth day-to-day operations across Macquarie University’s vibrant Faculty of Arts.
- Salary Package: From $78,954 per annum (HEW Level 4) plus 17% superannuation & annual leave loading
- Appointment Type: Multiple full-time and part-time, continuing positions available
- Location: Faculty of Arts, Wallumattagal Campus, North Ryde
About the Role
As a Faculty Operations Administration Assistant, you’ll work closely with academic and professional colleagues to provide high-quality administrative and customer-focused support that keeps the Faculty and Schools running efficiently.
In this varied administrative role, your responsibilities will include:
- General administrative support for School and Faculty operations, including facilities, office and IT equipment, and general enquiries.
- Assisting with diary management, meeting coordination, and logistics.
- Providing support for travel processing through central and faculty systems.
- Assisting with event coordination, room bookings and catering.
- Supporting onboarding processes and records management in line with WHS and university requirements.
- Responding to general enquiries or escalating as appropriate.
- Contributing to data entry, reporting, and process improvements.

Essential Selection Criteria
- Relevant qualifications and/or equivalent administrative experience.
- Demonstrated experience in providing high quality service to customers as well as the ability to work with a diverse group of stakeholders.
- Excellent communication skills and attention to detail.
- Demonstrated time management and organisational skills, including the ability to coordinate multiple activities with minimal supervision while delivering to tight timeframes.
- Intermediate computer skills including Microsoft office and a range of database management systems and applications.
- Ability to work collaboratively and independently.
