Full-Time Administrative Assistant II - Essex County Sheriff's Department
Job Description
The Administrative Assistant reports to the Education Director and serves as the student records specialist, managing and maintaining the accuracy and confidentiality of student records. This role provides administrative support to the Education Director, Assistant Directors, NECC staff, and education programming within the Essex County Sheriff's Department, including Middleton House of Corrections, Women in Transition, Essex County Pre-Release Program-Lawrence, Supporting Transition and Reentry (STAR) Lynn, and STAR Lawrence.
Responsibilities:
- Supports and assists the Education Director and Assistant Education Directors with administrative responsibilities.
- Assists with Info Session preparation and scheduling.
- Assists with the coordination of recognition ceremonies.
- Tracks and ensures the accuracy and completeness of all student records.
- Conducts regular audits to verify record accuracy and resolve discrepancies.
- Communicates with students, educational staff, and correctional facility staff regarding records.
- Requests and processes transcripts from external institutions.
- Maintains secure storage of physical and digital records, complying with regulations.
- Generates reports and provides data analysis for educational programming.
- Maintains a digital repository of program-related documents.
- Creates guidance documents for program processes.
- Adheres to federal, state, and institutional policies, including FERPA.
- Maintains strict confidentiality and security of student information.
- Receives and responds to inmate request forms.
- Supports the Data, Research, and Evaluation Specialist.
- Identifies opportunities to improve records management processes.
- Assists with training staff on records management.
- Utilizes software for effective student data management.
- Addresses issues related to student records promptly.
- Other duties as assigned.
Qualifications:
Minimum Qualifications: At least three years of full-time experience in office management, administration, or related fields, including functions like purchasing, personnel management, budgeting, accounting, records management, etc. Substitutions include an Associate's degree in business administration for up to two years of experience.
Preferred Qualifications: Bachelor's degree, strong customer service skills, proficiency in Microsoft Office Suite, excellent communication and organizational skills, ability to handle deadlines, adaptability, attention to detail, budget and accounting experience, bilingual (Spanish/English), and experience with diverse populations.
Additional Information:
Salary: $58,940.44 - $83,158.40 annually. Full-time position, 37.5 hours/week, Monday through Friday, 9:00am - 5:00pm. Grant-funded, AFSCME Unit I. Benefits include health, dental, life insurance, paid leave, and retirement. Anticipated start date: ASAP.
