The Position
The Human Resources Representative provides customer service and technically focused support to Ocean County College employees and the Human Resources department. This position carries out a range of routine and confidential tasks requiring an understanding of college-wide policies, procedures, and practices. This position is detail oriented, solutions driven, and strives to provide an outstanding employee experience.
What You Will Do
- Serves as point of contact for employees and managers to assist with general inquiries technical assistance related to HR technologies and benefits.
- Remains current on required technology platforms as they evolve and adapts to changes as necessary. Recommends process improvements as appropriate; incorporating feedback and leveraging new technology.
- Responds to inquiries and provides guidance to employees and managers regarding college policies, procedures, handbooks, and bargaining unit contracts to ensure understanding and compliance. Elevates non-routine inquiries and situations to supervisor or appropriate HR team member.
- Supports the daily Human Resources department operations as needed by performing a variety of confidential Human Resources functions; form I9 processing, front desk assistance, onboard/offboard support, COBRA processing, and open enrollment needs.
- Coordinates and distributes recurring college-wide HR communications, including broadcasts, direct email campaigns, and employer notices. Collaborate with specific HR team members to enhance communications as needed.
- Maintains the HRIS system for onboarding and offboarding tasks. Connects with employees to manage overdue or pending tasks. Provides follow- up for onboarding and offboarding tasks to ensure employee completion and compliance.
- Completes employment verifications as needed including wage audit, Public Service Loan Forgiveness applications, date /status verifications, and unemployment requests.
- Assists with the hiring/processing of designated college personnel, volunteers and/or embedded instructors as needed.
- Assists with training session and workshop preparation, including reserving rooms, managing correspondence, and responding to employee inquiries.
- Serves as the backup to the Human Resources Assistant as needed.
- Related projects, initiatives and duties as assigned.
The Successful Candidate Must Have
- Associates Degree, preferably in Business, Communications, Computer Science/Technology or closely related discipline.
- In lieu of Associates Degree, a high school diploma and the addition of two years of related experience can be substituted.
- At least three years of directly related experience in a customer service.
- Demonstrated proficiency using Microsoft Office Suite, or equivalent software.
- Possess excellent verbal and written communication skills.
- Capable of dealing with sensitive and confidential personnel matters.
Even Better If You Have
- Prior experience working in a higher education or public sector environment.
- Familiarity with NJ State benefits and pension programs.
- Knowledge of NJ and federal employment laws and regulations.
- Familiarity with Human Resources technology; HRIS or ATS.
- Bilingual (English/Spanish).
