St. Catherine University is seeking a Human Resources Specialist to provide cross-functional support across HR operations, compliance, learning facilitation, and recruitment. This is a highly operational, hands-on role that involves detail-oriented work, including managing HR records, onboarding documentation, and HR systems.
The role ensures timely execution of HR processes, maintains critical compliance and policy records, coordinates employee relations case logistics, facilitates HR-run trainings, and supports recruitment and hiring for staff, faculty, and student employees. The HR Specialist bridges operational gaps across recruitment, onboarding, benefits, ER/Title IX, and policy management, enabling HR leadership and specialists to focus on strategic initiatives.
This role is ideal for someone who enjoys hands-on work, thrives in a fast-paced environment, and is motivated to improve processes and drive operational efficiency across HR functions. Key Responsibilities:
- Serve as the primary point of contact for HR, overseeing front desk operations and ensuring a welcoming, responsive experience for employees, candidates, and campus partners.
- Manage HR records and documentation across systems (Banner, DocFinity), ensuring accuracy, confidentiality, and audit readiness.
- Support full-cycle hiring processes for staff, faculty, and student employees including posting job ads, assist with position description updates, screening, and generate offer letters.
- Coordinate candidate logistics, including interview scheduling and travel arrangements.
- Support Employee Relations and Title IX processes by managing case documentation, scheduling meetings, and tracking follow-ups.
- Maintain compliance training records and support LMS administration and reporting.
- Conduct personnel file audits and assist with policy updates to ensure regulatory compliance.
- Facilitate HR-led orientations and trainings, including new employee onboarding and student employment sessions.
- Maintain training materials, track participation, and gather feedback to enhance learning experiences.
- Coordinate HR projects, track progress, and maintain operational calendars for key deadlines and initiatives.
- Develop and improve workflows, checklists, and processes to enhance efficiency and consistency across HR functions.
- Provide backup coverage for HR team members during absences and support critical functions during high-volume periods, ensuring continuity of operations.
- Assist with logistics for HR programs, trainings, and employee engagement initiatives.
- Manage employment verifications and background check processes, ensuring timely and compliant completion.

Minimum Qualifications:
- Bachelor's degree or equivalent combination of education and experience.
- 2+ years in HR, recruiting, training coordination, or related administrative/project role.
- Strong organizational skills with the ability to manage multiple priorities.
- Excellent written and verbal communication skills; comfortable facilitating small group trainings.
- Proficient with MS Office/Google Suite; experience with LMS, HRIS, or case management systems preferred
