Description:
The Program Associate will support joint aspects of the Internships & Career Development Program, such as managing office operations and implementing events, with the primary focus on functions related budgets, documentation, communications and program funds disbursement in collaboration with the Internship & Career Development Operations & Communications Manager.
Your Key Responsibilities:

- Operations for the Internship and Career Development Programs
- Handle budget-related functions including tracking operating and endowed accounts as well as grant funds
- Assist with planning and implementing events
- Provide backup for labor students who perform reception/administrative duties in the welcome area
- Assist with Coordination of the Internship & Career Development Programs
- Support review of 250+ offers made to students and submitted by site supervisors through DocuSign checking to see they meet program requirements, requesting revisions as needed
- Initiate Box file for every student, check probation status in Banner, communicate with the CIE regarding approval for F-1 students as needed, apply appropriate labels in Handshake,
- Monitor DocuSign and Moodle for receipts, and Internship agreements and save pdf records for each student
- Record dollar amounts paid to students
- Support emails to each site supervisor prior to the beginning of the internship, providing expectations and copies of the intern’s proposal and agreement
- Initiate check requests for payments for any student fund disbursements
- Assist with tracking/processing timesheets, evaluations and assessment, as needed
- Assist with monitoring and responding to Internships & Career Development email accounts
- Support administration of Peripheral Experiential Programs and Funds
Other roles/duties will be assigned as necessary to assist the College in the attainment of the goals set forth and the enhancement of a positive, respectful learning environment for all staff, faculty and students.
What You'll Bring:
Education required to ensure success in this position:
- Bachelor’s Degree
Experience required to ensure success in this position:
- 3-5 years of experience supporting student-focused programs in higher education
- Computer and data-management experience
- Customer service orientation and positive attitude
- Basic accounting experience
Special skills, knowledge and abilities:
- Excellent communication, including written, and in-person skills; ability to develop/maintain effective relationships with diverse populations (including but not limited to students, alumni, faculty, administration, and staff)
- Computer proficiency and data management skills, including expertise with Microsoft Outlook, Word, Excel, Zoom, DocuSign, Banner, and Handshake
- Efficient work habits; ability to productively handle details of multiple ongoing responsibilities while maintaining high standard of quality and accuracy in a fast-paced environment
- Creative problem-solving skills, along with willingness and ability to take initiative
- Collaborative working style with ability to work independently without direct supervision with strong belief in teamwork
- Ability to follow procedures and maintain confidentiality
- Enthusiasm, flexibility
License, certification, or registration necessary:
- Valid driver’s license
- Required background checks
Physical requirements:
- Ability to navigate campus/public buildings and grounds
- Ability to travel by car and/or plane
- Ability to occasionally lift up to 20 lbs.
Environmental conditions:
- Professional office environment with interruptions and noise due to frequent visitors, students, staff and faculty
- Occasional travel required for meetings, conferences, etc.
- Ability to occasionally work evenings and weekends, as needed
Ability to operate the following vehicles or equipment:
- Standard office equipment: computer, fax, phone, etc.
- Job related technologies required, including but not limited to MS Office, Handshake, DocuSign, Zoom, Banner, Chrome River, Smartsheet, Canva and social media platforms
