Position Summary:
The Office Manager for Information Technology Services (ITS) plays a critical administrative and financial coordination role within Manhattan University’s IT division. This position ensures that all operational, purchasing, and contract-related processes run efficiently and in compliance with university policies. The Office Manager serves as a key liaison between ITS and other University departments, including Procurement, Finance, and General Counsel.
Responsibilities:
Financial and Contract Management:
- Process and pay all Information Technology invoices in a timely and accurate manner.
- Track and reconcile ITS expenditures, ensuring alignment with departmental budgets.
- Prepare and submit all ITS contracts to the Office of General Counsel for review and approval.
- Maintain and manage the ITS contract database, ensuring renewals and expirations are tracked proactively.
- Generate periodic financial and operational reports summarizing spending to date, outstanding invoices, and active contract statuses.
Procurement and Purchasing:
- Manage all purchases of IT-related equipment, software, and services for the institution.
- Work closely with the Procurement and Finance departments to ensure compliance with institutional purchasing policies.
- Coordinate vendor relations and maintain records of all purchase orders, invoices, and vendor communications.
Administrative and Operational Support:
- Serve as the primary point of contact for the ITS department, handling incoming calls to the University’s general number and routing inquiries appropriately.
- Support internal ITS operations by maintaining organized records, schedules, and communications.
- Assist in planning and coordinating departmental meetings, events, and logistics as needed.
Cross-Departmental Collaboration:
- Act as the administrative liaison between ITS and key university offices, including Procurement, Finance, and General Counsel.
- Collaborate with other departments to ensure IT-related expenditures and contracts align with University objectives and compliance standards.
Qualifications:
Required:
- Bachelor’s degree in Business Administration, Accounting, Information Systems, or related field.
- Minimum 3 years of administrative, financial, or office management experience, preferably in higher education or IT services.
- Strong organizational skills with attention to detail and accuracy.
- Proficiency with Microsoft Office Suite (Excel, Word, Outlook) and financial management software.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
Preferred:
- Experience with enterprise resource planning (ERP) systems such as Banner.
- Familiarity with IT purchasing, vendor management, and contract administration.
Work Environment:
This position operates in a professional office environment on the Manhattan University campus. Occasional remote work may be permitted per University policy.
