Office & Admin Specialist Int - Student Records & Support Specialist
This position provides critical support to the Records Office and Student Affairs division by processing student records requests, assisting with records-related projects, and providing administrative support to the Registrar's Office and Student Services. The role supports data integrity, ensures compliance with federal and state reporting requirements, and offers student-facing services through email, phone, and in-person engagement. This position is essential in maintaining accurate academic records, coordinating transcript processes, and assisting with the continuous improvement of records-related workflows.
Responsibilities include, but not limited to:
- Processing outgoing transcript via the Clearinghouse, mail, and microfilm/Access records.
- Check in students during 1Stop events and enrollment-related activities.
- Provide support to Student Affairs leadership in managing confidential records and communications.
- Assist staff and students with understanding enrollment policy and procedures.
- Monitor and resolve Clearinghouse enrollment and error reports.
Salary Range:
$20.76 - $27.53 per hour / $43,347 - $57,483 annually
Minimum Qualifications
- Ability to communicate effectively with customers and understand information.
- Knowledge of customer services practices and principles sufficient to identify each customer's needs, meet quality standards for services.
- Ability to provide prompt, courteous and accurate information to customers in person, on the phone and through e-mail and other written correspondence.
- Ability to use database management skills and data entry to develop and maintain databases, retrieve information, and maintain accurate records and reports.
- Word processing skills sufficient to use software to create, format, edit, print and save a variety of documents, including spreadsheets, tables, charts and graphs, Microsoft applications.
- Demonstrates an ongoing understanding of cultural fluency, incorporate culturally responsive practices, and actively engages in antiracism professional development learning opportunities.
Preferred Qualification
- Knowledge of student records practices and FERPA regulations.
- Experience working in a higher education environment.
- Familiarity with Minnesota State Colleges and Universities systems and protocols.
- Customer service experience in a records or enrollment office setting.
- Proficiency with office technology and student information systems (e.g., ISRS, ImageNow, National Student Clearinghouse).
Other Requirements
In order to be considered for this position, you must be in good standing with Minneapolis College.
Work Shift (Hours / Days of work)
Monday - Friday, 8:00am - 4:30 pm
Telework (Yes/No)
This position may be eligible for partial telework in accordance with Minneapolis College's telework guidelines.
